We support 31 faculty members, 65 research staff, and 200+ PhD and MPH students. The ADA cultivates a positive and highly functional environment in support of important public health training and research.JOB DESCRIPTION:Manages the operations, personnel and fiscal activities for an academic department or business unit.

Identifies and leads efforts to address specific operational issues.

Develops recommendations and action plans towards their resolution.

Determines and recommends options for addressing budget issues.

Assists in preparing contract budgets, grant applications, proposals, status reports and/or financial statements.

Plans and prepares projections for management of unit operations and associated costs.

Researches and investigates employee issues/concerns.

Collaborates with Human Resources to recommend an appropriate course of action.

Responds to inquiries and/or complaints from faculty, staff, students, parents, outside agencies and/or the public which require interpretation of policies and procedures.

Projects and develops plans for addressing staffing requirements.

Hires, supervises and evaluates regular staff and student employees.

Prioritizes work assignments and special projects.

May conduct research and develop proposals for new programs and services.

Performs related responsibilities as required.

ADDITIONAL JOB DETAILS:The BSHES department seeks a candidate who values diversity, equity, and inclusion, and integrates these principles into everyday work. The ADA is responsible for the lifecycle of faculty affairs, from running large-scale faculty searches to facilitating promotions for tenure-track and clinical, research and teaching (CRT) faculty. The candidate will monitor and forecast departmental operating budgets and discretionary accounts, oversee planning for departmental events and lectures, and support various departmental committees. Managing a staff of four, the ADA oversees all processes related to finance, human resources, IT, office space, and communications. This role liaises with colleagues in research administration, troubleshooting items as they arise and advocating for faculty when needed. The ADA builds partnerships across the school and university in order to remove administrative burden for faculty, staff, and students. Key to the success of this role is overseeing smooth business operations of the department’s PhD and MPH programs.Directs the day to day administrative, personnel and financial operations of the department.

Oversees all departmental staff, including administrative, financial and related support personnel.

Implements financial controls, provides fiscal management over administrative, academic, sponsored research, service centers and operating funds, and strategically plans for the future.

Develops annual all funds budget, including position planning.

Provides quarterly budget to actual forecasts.

Manages faculty effort allocations in collaboration with Research Administration Services.

Establishes departmental processes and procedures to insure compliance with government, university and school policies.

Prepares departmental annual report of financial and academic history, policies and forecasts.

Continually monitors and advises faculty and staff regarding administrative and academic activity, implications of policy changes and information systems strategies.

Participates in technology architecture to ensure efficiency across administrative and academic operations.

Responds to requests for regular and special reports from the chair, faculty, school, university and outside agencies.

Serves as the department’s liaison with administrative deans and directors with in the school.

With the assistance of the Office of Human Resources, determines and implements solutions to non-routine HR problems both at the request of the staff and/or supervisors and by self-initiated intervention.

With the assistance of the Office of Human Resources, oversees management of payroll operations for the department, including direct involvement in non-routine annual and special increases, promotions and recruitments.

Determines and implements solutions to administrative problems.

Oversees training of staff, including procedures to improve efficiency and as necessary to reorganize.

Works with the chair and faculty to plan and manage the physical space allocated to the department to insure optimum utilization.

MINIMUM QUALIFICATIONS:Bachelor's degree in business administration or a field related to the department's area of specialty and two years of office administration experience, or equivalent combination of experience, education and training.

Supervisory experience required.

Experience with various personal computer software applications.

PREFERRED QUALIFICATIONS:High level of proficiency in MS Office Suite.

Experience in financial reporting and processing accounting transactions.

Previous experience with Emory systems (Compass, Emory Express, Emory Business Intelligence, iCIMS) or similar applications.

Knowledge of faculty affairs and/or faculty search processes (in Emory or other academic contexts).
