Job Summary:
The Administrative Manager is responsible for ensuring the thorough execution of administrative processes and helping to develop improved organizational systems and efficiencies.
Responsibilities:
HR processes including hiring searches, employee onboarding, and scheduling reviews
Invoicing
Ensure timely bill payments in coordination with outsourced bookkeeping
Submit employee hours and documents to outsourced payroll service
Assist in project organization and document filing
Develop project profitability reports
Ensure timely submittal of construction progress paperwork
Field phone communications
Mailing and shipping
Develop workplace safety program
Develop internships and community outreach programs
Purchasing
Monitor costs and expenses to assist in budget preparation
Monitoring and ordering of non-production supply inventory
Perform off-site errands as needed
Oversee facilities maintenance and improvements
Ensure operations adhere to polices and regulations
Collaborate with other members of the management team to improve processes and efficiencies
Requirements:
High proficiency with Windows, Word, Excel, Quickbooks and email
Strong written and verbal communication skills
Strong organizational skills
Ability to manage multiple concurrent projects
In depth understanding of office management procedures and legal policies
Demonstrated administrative and customer service experience
A team player with leadership skills
