This position provides primary administrative support to the Chairman & CEO. Responsibilities include scheduling appointments, preparing correspondence, answering incoming calls, arranging and coordinating meetings and preparing reports. Position requires progressive secretarial/administrative experience; excellent organization, communications and customer relations skills; strong computer skills including spreadsheet and word processing. Manages corporation records and documents. Taking minutes of meetings. Provides support services to all Shareholders and all Directors of the various boards of all companies.

ESSENTIAL FUNCTIONS:

Assist and support all functions and responsibilities of the Chairman & CEO. This includes his personal matters and his involvement in non-profit, community organizations.

Serve as the primary contact for the CEOs office with all company employees, the public, vendors, and business contacts.

Perform all office functions and related support services in interfacing with same.

Provides full secretarial and administrative services for all Finance Factors offices including the parent company (Finance Enterprises) and other affiliated companies.

Prepares letters, memos, work plans, statistics, reports and forms; various documents

Distributes, inventories, orders, and acquires supplies as needed.

Manage corporation records including stockholder documents.

Take minutes of committee and board meetings.

Coordinates travel arrangements for executives.

Ensures compliance with all city, state and federal laws regarding business registration filings.

Prepare and submit requisitions for reimbursement or checks for all CEO and company expenses and handle all other related financial matters.

Handle highly confidential information.

REQUIREMENTS:

5+ years general office experience

4-year college degree or equivalent preferred.

Law degree or legal background preferred.

Computer proficient in MS suite of products: Outlook, Word, Excel, Power point, Publisher,

Must have professional, courteous and pleasant demeanor in interacting with general public, ability to organize/prioritize workload and excellent communication skills.

Strong writing ability

Able to handle multiple projects/tasks concurrently.

Notary preferred.

Ability to manage highly confidential matters.

Ability to manager corporate records.

General math skills.
