The Hawaii Dental Association (HDA) is a statewide professional association of dentists licensed and practicing in Hawaii, dedicated to serving the profession of dentistry and the public of the State of Hawaii. The Association preserves the integrity of the dental profession, strengthens the doctor/patient relationship and promotes the Principles of Ethics and Code of Professional Conduct of the American Dental Association.

The HDA is the Hawaii state subsidiary of the national American Dental Association and is made up of four county level dental societies: the Hawaii County Dental Society, the Honolulu County Dental Society, the Kauai County Dental Society and the Maui County Dental Society.

Nearly 1,000 members make up the HDA, representing over 92% of all dentists practicing in Hawaii in general dentistry and the eight dental specialties recognized by the American Dental Association.

Position Summary

The Projects Coordinator will provide administrative and project support to oral health programs, events, and initiatives, that further the mission of the HDA and in alignment with the HDA Strategic Plan. This position will work in collaboration with HDA leadership, local county dental societies, and various workgroups (Committee, Program, and Task Force Chairs and members) as appropriate, and with the American Dental Association and HDA staff.

In addition to the responsibilities listed below, the Projects Coordinator will support and model the HDA philosophy and other organizational competencies such as, but not limited to, quality management, fiscal responsibility, compliance, and safety.

Job Responsibilities

At the request of, and under the direction of the Executive Director, HDA Leadership, and Workgroup Chairs, the Projects Coordinator will support the following work, in alignment with the HDA Strategic Plan and its Goals, through such tasks as:

1. Membership and Community:

Plan, coordinate, and execute specific program and project objectives put forth by the various HDA workgroups and local dental societies, such as Dental Education courses, Membership events, HDA Foundation, and community initiatives. This involves supporting tasks such as meeting preparations, meeting attendance, and note-taking.

Monitor, complete, and close out on follow-up tasks in databases and hard copy files, and with workgroups, partners, and vendors.

2. Advocacy:

Host legislative activities.

3. Communications:

Research and compile timely and relevant information.

Maintain current information on HDA website.

4. Operations and Administrative:

Respond to inquiries from members and the public.

Manage office and project supplies and materials.

Maintain general office operations.

Assist with building maintenance and activities.

Perform other duties as assigned.

Qualifications

1. Required “ A baccalaureate degree from an accredited college or university with an

emphasis in a related field such as public health, social work, marketing/business administration, or similar.

2. Preferred “ Minimum of 1-2 years relevant experience.

3. Proficient in MS Office programs and relationship management databases.

4. Possess excellent verbal and written communication, analytical, and organizational skills.

5. Able to communicate and work with, support, and motivate a broad spectrum of people including HDA leadership and staff, Program and Task Force Chairs, HDA members, community partners, and volunteers.

6. Able to handle multiple projects simultaneously and to organize, establish priorities,

followup on all details, meet deadlines, and troubleshoot.

7. Must be both a team player and independent worker.

8. Possess and demonstrate initiative, motivation, friendly and professional attitude, punctuality, and eagerness to learn.

9. Have access to an automobile and a valid drivers license, and be available for flexible work

hours (some evenings and weekends).

10. Able to lift 25 lbs.

Measures of Accountability

The primary measure of performance for the position will be the degree of attainment in fulfilling the duties and responsibilities of the position. The following criteria may be used for evaluation:

1. Meets or exceeds annual performance targets.

2. Meets job duties and responsibility requirements.

3. Demonstrates an understanding of HDA mission and strategic goals as they relate to the position and conducts self in a manner which supports and promotes them.

4. Contributes to a supportive, positive, collaborative, team building atmosphere at HDA.

5. Provides supervisor with regular and timely reports on work.

6. Quality, timeliness, quantity, and accuracy of work produced.

7. Effectiveness of relationships with HDA leadership and members, staff, volunteers, partners, and the public.

8. Adheres to the policies and procedures of HDA.

9. Problem solving ability.

10. Sound judgment.
