RESPONSIBILITIES:

The essential duties and responsibilities of this position include, but are not necessarily limited to:

Assist in collecting and processing weekly timesheets.

Answer and direct phone calls

Keep inventory of office supplies

Plan meetings when needed

Provide general support to staff, customers, students and visitors

Write and distribute emails, correspondence memos, letters, faxes and forms

Assist in the preparation of regularly scheduled reports

Create and update records ensuring accuracy and validity

Develop and maintain a filing system

Responsible for filing and organizing all staff, customers, student, vendor account folders.

Receives, analyzes and processes vendor bills for service contracts as well as retail customers

Update and maintain office policies and procedures

Maintain contact lists

Submit and reconcile expense reports

Prepares and analyzes weekly accounts payable reports

Assist in weekly accounts payable checks

Assists Sales team and with typing up proposals and emails for Customers

Provide customer service to guests

QUALIFICATIONS:

5 year’s work experience as an administrative assistant, or office admin assistant

Knowledge of office management systems and procedures

Working knowledge of office equipment, like printers and fax machines

Proficiency in MS Office (MS Excel, MS Word, and Google Chrome in particular)

Proficiency creating content and design

Experience with Payroll

Excellent time management skills and the ability to prioritize work

Attention to detail and problem-solving skills

Excellent written and verbal communication skills

Strong organizational skills with the ability to multi-task

Experience with accounts receivable and accounts payable

Must hold a scuba certification or be willing to obtain

Pre-employment drug test

Bilingual a plus! (Japanese, Korean, Mandarin)

Must be US Citizen or have US Work Permit

SKILLS:

Bending, stooping, reaching, twisting, pushing, pulling, and moving items

Moving and standing

Flexible schedule to include evenings and weekends as required

Ability to perform essential job functions in an environment with varied noise levels
