Small Architecture & Engineering Firm is looking for a new Office Manager

Hours: 9am to 5pm; 30-40 hours a week Mon.- Fri.

Location: Haiku Office complex

This Administrative Position duties include, but is not limited to;

Office organization / filing

Permitting with County of Maui

Drafting and sending invoices in Quickbooks

Drafting proposals

Managing health insurance

Assisting accountant / book keeper

Accounts payable - drafting checks for principal to sign

Writing letters / emails to clients

Answering phones in the office and taking messages

Phone calls to clients

Working with and drafting Excel and Microsoft word documents

Taking pictures at job sites

Errands to the bank / post office / county offices / job sites (You will need to use your own vehicle, mileage will be reimbursed at .58/cents a mile.)

Basic weekly cleaning of office, manage sub contractor deep cleaning.

Scheduling meetings and time management of principle.

Required skills:

Proven experience as an Office manager, Front office manager or Administrative / Executive assistant.

Knowledge of office administrator responsibilities, systems and procedures

Proficiency in MS Office (MS Excel and MS Outlook, in particular)

Hands on experience with office machines (e.g. fax machines and printers)

Familiarity with email scheduling tools, like ical calendar.

Excellent time management skills and ability to multi-task and prioritize work

Attention to detail and problem-solving skills

Excellent written and verbal communication skills

Strong organizational and planning skills in a fast-paced environment

A creative mind with an ability to suggest improvements

The office manager is the life of the firm and very important to have a positive attitude, impeccable organization and customer service. Local knowledge of Maui is a must. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness and communication. We focus on off- grid, renewable energy and sustainable design and seek a team leader that is like minded to join our ohana.

To start we offer:

A three month trial/training period.

$20/hour to start or commensurate with experience.

Flexible hours weekly with a goal of 30-40 hours/week

Health insurance included.

Sick leave and vacation offered after one year.

Responsibilities may increase in the future but that would be accompanied by more compensation.

Requirement is a 1 year commitment, (understanding of course that it is a good fit) we can reevaluate after 90 days to make sure it works. Currently we do not offer paid leave or vacation time. After a year we can discuss this and we will also be implementing a 401k as well in the near future.

Knowledge of architecture plans, permitting, swimming pool design and off grid water catchment and energy systems a plus, but not necessary- you will learn as you go.

Detail orientated, capable of managing a large and varied project list, great communication skills and if you like Mana'o Radio, then you'll fit right in.
