Welcome page Returning Candidate Log back in!OFFICE COORDINATOR Posted Date 3 weeks ago(5/1/2019 8:09 PM)Job ID2019-4427# of Openings1CategoryOperationsLocationKonaOVERVIEW JOB SUMMARY Under the daily/routine supervision of the Operations Superintendent performs a variety of administrative duties and support to the management of West Hawaii Operations.RESPONSIBILITIES MAJOR RESPONSIBILITIES/ESSENTIAL JOB FUNCTIONS Coordinate employee-related issues such as vacation/leave requests, time-sheet/paycheck matters, change of status/address, training requirements, etc.; monitors vacation/leave requests and reconciles. Maintenance and compilation of department performance statistics for reports as required. Administers petty cash fund to include payment for meal allowances and per diem requests. Prepares travel requests, confirms travel arrangements, and prepares expense reports. Creates requisitions and makes direct purchases and payments of office supplies and other materials as instructed; coordinates vendor services, e.g. laundry, janitorial, security etc. Opens and routes incoming mail; creates various forms, types, types correspondence, reports and other materials from draft; maintains various files and logs; assists other personnel as required. Coordinates maintenance of dept. office equipment, such as printers, copiers, cell phones. Maintains various files and logs to include employee personnel jackets, military passes, airport badges, safety training file etc. Reconciles procurement card summaries, and determines proper account number assignments. Assists dept. personnel with the requirements of the Company's Records Retention Policy. Administers bulletin board postings as required so that postings are timely, authorized and removed as applicable. Interacts with the general public and with all gas customers where required; assists them with resolving issues or refers to the appropriate department. Maintains assigned work area and equipment in a clean, orderly and safe manner; performs Housekeeping duties as required/instructed. Complies with all safety rules.
