Volt Workforce Solutions is looking for talented, reliable, and driven individual that for the position of: Site Coordinator. GENERAL SUMMARY:Receives, welcomes, and directs visitors, employment applicants, vendors and customers to appropriate locations and internal staff. Maintains a visitors log and issues visitor badges. Provides administrative, clerical and general office support for the Company. May provide direct support to specific departments in addition to front desk responsibilities. Additionally, assists the Talent Acquisition team, hiring managers and other employees with administrative support as it relates to the scheduling of interviews, hiring, and on-boarding of talent at Tandem Diabetes Care. Contributes to the overall success of the team by playing an important role by creating a positive candidate experience for anyone who applies, interviews, and potentially accepts an offer with Tandem.PRIMARY DUTIES & RESPONSIBILITIES:Acts as the face of the Company, assists visitors with badges, visitor log, and locating their Company contacts. Answers in-coming calls, screens, routes and answers phone inquiries.Greets candidates and collects non-disclosure agreements (NDA). Coordinates arrivals with Talent Acquisition TeamServes as primary interview scheduling contact; schedules interviews, reserves conference rooms, distributes candidate information to interview teams, coordinates with reception, and troubleshoots scheduling conflicts as they arise.Coordinates candidate travel arrangements and assist with candidate expense reimbursement.Provides applicant tracking system support from posting positions to candidate workflow.Provides support for pre-employment screenings including running background checks, conducting references, scheduling drug tests, etc.Transitions pending new hires from Applicant Tracking System (ATS) into Onboarding system.Coordinates and administers the New Hire Onboarding Program.Works in partnership with San Diego HR, IT, Facilities and Corporate Services teams to ensure consistent and best practices are being followed at the Boise site and are aligned with Corporate expectations.Responsible for working in partnership with IT & Facilities to ensure Boise site new hires receive parking decals and employee badges and handles all administrative work to support these processes.Monitors use of conference rooms for availability and optimum utilization of conference space. Communicates with meeting organizers to confirm use of rooms. At the beginning of each day, ensures rooms are clean, stocked with appropriate supplies, and white boards are wiped for confidentiality purposes.Is in-the-know with Company happenings and serves as an information resource for employees.Prepares outgoing mail & distributes incoming mail, prepares Federal Express/UPS documents, updates Boise site Phone Tree, and assists administration in copying, scanning and filing documents.Arranges for local ground transportation for out of town candidates, visitors, customers, and employees upon request.Orders and sets up lunches and refreshments for meetings as requested.Takes inventory of office and kitchen supplies and submits in preparation of next order placement. Stocks incoming orders and monitors use on a daily basis, replenishing as necessary; orders employee gifts upon request.Assists vendors while on company property.Ability to travel to multiple locations during the day to stock and assist departments as needed.Creates email notifications for Boise site events. Supports preparation of TBDs, company picnics and holiday parties. Assists in the scheduling and coordinating of meetings and trainings at the Boise location.Provides general administrative support to members of leadership within the Boise location.Gathers and assembles information to prepare reports and presentations as directed.Confirms completion of required training plan before assuming job responsibilities.Ensures work is performed in compliance with company policies, including Privacy/HIPAA, and other regulatory, legal, and safety requirements.Other tasks as assigned.REQUIRED QUALIFICATIONS: Knowledge, skills & abilities:Proficient in Microsoft Office (Word, Excel, PowerPoint).Able to speak clearly and comprehend written and verbal instructions.Able to work well with others; contribute effectively as a team member.Demonstrated ability to work accurately, follow instructions, and multi-task.Strong administrative and data management skills.Organized and attentive to detail, with excellent follow through skills.Proven exemplary customer service skills and ability to interact effectively with all levels of management.Experience in handling confidential information.Able to effectively share information related to work product in verbal and written form.Able to contribute to the team by supporting the acceptance of new team members.Demonstrated ability to work accurately and independently, follow instructions and schedules, meet deadlines and handle multiple priorities.Proficiency in Microsoft Office required: Word, Excel, PowerPoint and Outlook.Prior recruiting administrative experience strongly desired.Minimum certifications/educational level:Associates degree or equivalent combination of education and applicable job experience.Minimum experience: 2 years relevant experience.Experience with recruitment processes and applicant tracking systems required.JOB SCOPE:Acquires job skills and learns company policies and procedures to complete routine tasks.Works on assignments that are routine in nature, requiring limited judgment.Normally receives detailed instructions on all work; works under close supervision.PHYSICAL REQUIREMENTS:While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, see, talk or hear in a standard office environment.
