Job Description: Quality & Customer Service Coordinator

Job Overview

To drive safe, reliable, and efficient operation of the lab areas. In addition, this position will be the focal point for managing customer service for the terminal.

This position will work with the day lab technician to support the daily operational testing requirements and manage the analytical equipment. The coordinator will work with the other terminal managers to address all customer requests and concerns.

Coordinator Responsibilities:
  • Available to all customers for any quality, operations or logistics issues.
  • Coordinates with Operations, Logistics, and HSSE on issues, training and audits performed by local, state and federal officials.
  • Supervises the validity of third party inspection and authorizations used, monitor the HSSEQ management system's effectiveness at all levels within the terminal.
  • Ensures that proper inspection (HSSEQ) and calibration of process equipment are carried out and records are properly maintained.
  • Reviews company policies and procedures on a defined frequency.
  • Ensures that non-conformance activities, customer complaints, accident / incident are investigated and appropriate corrective / preventive actions taken to prevent reoccurrences.
  • Participates in internal and external audits.
  • Oversees all stock accounting procedures and inventory controls to maintain contractual agreement with customers and prevent product contamination/loss.
  • Manages month end closing process to facilitate timely transfer of information to accounting for monthly contractual billing as well as miscellaneous service charges.
  • Is the Quality Coordinator for customer products
    • Keep customers informed of any quality related incidents.
    • Ensure non-conformity reports are documented for all non-conformances.
    • Reviews all outstanding non-conformances regularly in order that proposed corrective and preventive actions are taken and the results verified.
    • Updates and maintain the Quality aspects of the HSSEQ manual.
    • Ensures audits are conducted regularly.
    • Reviews customer complaint reports, quality records and data with the management team regularly.
    • Identifies and records problems relating to the product, process, and quality system.
    • Maintains the quality system, including FDA, Kosher, and FIFRA requirements.
  • Analyzes levels of services and to identify possibilities of improvements and reporting this status to management team.
  • Provides adequate training to all terminal operations personnel and ensure that they have the relevant skills and knowledge to carry out their lab duties efficiently.
  • Reviews and approve work procedures to improve methods of operations.
  • Encourage and initiate program to improve any potential safety and health hazard conditions.
  • Focal point for all lab equipment and testing requirements.
  • Receive certifications pertaining to all lab duties.
  • Pulling tank samples for analysis.
  • Ordering all lab supplies/keeping shelves stocked with bottles etc.
  • Boxing and shipping samples via mail.
Overall skills and requirements
  • Familiar with Microsoft applications (Word, PowerPoint, Excel, Access) and Lotus Notes
Education and Experience
  • High School Graduate or Associated Degree or equivalent.
  • Prior terminal experience and leadership position required.
  • Introductory Algebra & Chemistry classes
