Job Description

The part-time Office Administrator will be responsible for providing day-to-day administrative support to our Lake Bluff facility and supporting the Human Resources Generalist in employee engagement initiatives. A successful candidate will be a self-starter, safety-minded, have the ability to engage with managers and employees from all departments, and accountable for tasks as assigned.

  • Orders and maintains office supplies and supplies for company-sponsored events
  • Coordinates lunch for HR sponsored or Leadership team meetings
  • Oversees the recognition and service award program by coordinating celebratory cakes, lunches, and updating digital importinto the online platform
  • Oversees vending service program including vendor management & inventory management
  • Coordinates annual employee gifts and other employee gifts such as cakes, flowers, T-shirts, etc.
  • Supports leadership team with travel arrangements
  • Owns and manages the global organization chart using Visio
  • Coordinates intercompany employee-related shipments with warehouse
  • Creates business cards using PhotoShop
  • Coordinates scheduling for panel interviews and new hire orientation
  • An active member of, and involved in, the responsibilities held by the safety, engagement, United Way, and wellness committees
  • Assists with employee email communication for company events, wellness initiatives, reminders, and other announcements
  • Coordinates set up and clean up for company-sponsored events
  • Processes monthly expense reports within Concur
  • Responds to and resolves administrative inquires and questions
  • Ad hoc reporting or projects as assigned

Qualifications

  • Minimum 1 to 3 years of experience in an administrative role
  • High School Diploma or GED required
  • Strong written and oral communication skills
  • Excellent organizational skills and attention to detail
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint
  • Experience using Concur, Photoshop, or Visio, a plus but not required
  • Flexible and adaptable in various situations that require immediate attention
  • Ability to work independently
  • Ability to occasionally lift and push up to 50 lbs.
  • Ability to work prolonged periods sitting at a desk and working on the computer
  • Available to work 25-28 hours per week
