Description

Coordinates office activities for the organization, typically assisting with processing payroll and personnel documents, as well as maintaining related records. Purchases office supplies, and coordinates mail, shipping and receiving, and telecommunications logistics. May administer operating accounts and federal and state grants and do monthly reconciliations. May coordinate the work of clerical support assistants and/or student workers or interns. This is a part-time position with flexible work schedule.

- Responsible for administrative tasks associated with the international headquarters operations.

- Screen phone calls, redirect calls, and take messages.

- Provides positive customer service to visitors, staff, board members, alumnae, and students.

- Processing payroll and personnel transactions and auditing and maintaining accurate records on same.

- Coordinating travel arrangements for staff and board members, and processing travel reimbursements when needed.

- Assisting staff with personnel-related issues, such as health insurance, direct deposit, holidays, training programs, and so forth.

- Assist the Executive Director and administrative staff with any financial questions, financial processing, and reporting needs.

- Serve as a direct support for the Executive Director to manage calendar requests, develop reports, and manage projects and event logistics as needed.

- Provide support to the Executive Board of the organization.

- Ordering office supplies and materials, and maintaining an adequate stock at all times.

- Performs other job-related duties as assigned.

Qualifications

High school and 3 years experience

Requires a basic knowledge of grammar, spelling, punctuation and simple mathematical functions like percentages, ratios, etc. as might normally be acquired through attainment of a high school diploma or GED. Requires a minimum of three (3) years of directly job-related experience.

A successful candidate will be a self-motivated, professional team player, proficient in Microsoft Office and able to learn the organization's database system. Candidate will also demonstrate excellent interpersonal and communication skills.
