This position is responsible for successfully delivering a broad spectrum of support to the CEO and

tax office team in a fast paced, challenging and rewarding environment.

Essential Job Functions

● Provide administrative support to the CEO in a manner that optimizes efficiency, resources,

and client satisfaction.

● Prepare tax organizers and engagement letters in accordance with firm's policies

and procedures.

● Update client required forms each year with strong attention to detail and free from errors.

● Organizing, scanning/downloading, and filing all tax support and applicable communication

appropriately.

● Scheduling of client appointments, with timely confirmations, reminders, and follow-up.

● Assist in maintaining databases, spreadsheets, client files, etc. to be accurate and current.

● Coordinate with the office to ensure completeness, accuracy, compliance, and timeliness of

workflow processes.

● Coordinate all incoming and outgoing shipments/mail/packages/dropbox documents and

processing, filing and returning in a timely, accurate, and compliant manner (e.g., responsible

cash handling, confidential, safe).

● Communicate with clients regarding the status of their tax returns by answering all incoming

phone calls, voicemails, emails, text messages, and portal communications.

● Call and email clients to request information packets & tax organizers for tax preparation. This

includes requesting any missing information for tax completeness.

● Complete monthly accounting functions including bookkeeping, paying sales tax, filing all

required reports, updating client reports, and filing confirmations accordingly.

● Efficiently manage online secure portal for requesting tax and accounting documents,

uploading tax forms & worksheets to clients, downloading completed tax information from

clients, and timely management of client follow-up.

● Manage the e-signature process for completed tax returns by following up with clients

consistently, based on the method of delivery, in order to update the client database, ensure

returns are e-filed upon receipt of final signatures, and file hardcopy signed forms to ensure

compliance.

● Perform other duties as assigned.

● Maintain the highest level of confidentiality and professionalism during work hours and while

representing bmp, CPA during off-hours, in accordance with conflict of interest and nondisclosure

policies.

Qualifications

● Bachelor’s degree in business, accounting, or related field preferred but not required.

● 3+ years of experience in administrative support work, office practices and administrative

procedures. Accounting experience is preferred but not required.

● Technology savvy with the ability and desire to embrace necessary software applications,

improve technology processes, and be efficient and accurate with computer skills.

● Strong proficiency in Microsoft Office Programs (e.g., Word, Outlook, Excel, OneNote), Adobe,

ScanSnap, Gruntworks, website maintenance, WordPress, and the ability to quickly learn and

manage new software and technology.

● Strong written and verbal communication skills, especially by phone and email.

● Superior organizational and follow-through skills with strong attention to details and deadlines.

● Flexibility to change direction frequently between tasks and between different clients.

● Proven ability to work in a high-volume, fast-paced, deadline-driven environment and handle

multiple projects while prioritizing, planning, and organizing projects simultaneously.

● Ability to operate with a sense of urgency in a fast-paced environment, with limited time.

● Ability to work independently with limited supervision.

● Open to constructive feedback and on-going self-improvement.

● Flexibility to work additional hours during peak periods of the year, including evening weekend

flexibility.

o “Busy/Tax Season” is from January 20 to May 1 (depending on tax deadline changes),

requiring overtime hours, Saturdays, and more than 40 hours per week, as needed.

o “Off Season” is from May 2 to January 19, with an approximate 32 hours per week and

flexible hours.
