NIC Inc. is looking for a qualified Executive Assistant for our Olathe, KS corporate office who has a broad knowledge of corporate operations and policy with a high level of experience, discretion and technical skills.

Working under the direction of the Chief of Staff to support the Office of the CEO, the ideal candidate is privileged to a great deal of private company information and is relied upon to keep this knowledge confidential. Responsibilities will include day-to-day scheduling/calendar management; and the ability to work accurately under deadlines and to adapt to a rapid change in pace. S/he will operate with great latitude for independent judgment and initiative and will serve as the liaison for the Senior/Executive Team and NIC Associates as well as government partners. This position is highly visible and requires the utmost professional attitude and presence.

RESPONSIBILITIES:

  • Provide leadership and proactive management to efficient and effective scheduling of the CEO’s time.
  • Analyze and prioritize requests for meetings, incoming mail, social media and telephone calls to ensure timely review and response; maintain diligent follow-up.
  • Prudently manage confidential and critical information inherent in position.
  • Provide complex travel arrangements, both commercial and private. Become familiar with the specific, detailed needs of the CEO and travel partners; creates consistent travel itinerary portfolios both personal and professional for reference and is available during travel times occasionally on weekends and holidays, to quickly address any last minute changes, modifications or cancellations.
  • Works in a professional and focused manner to proactively schedule the coordination and production of executive internal and external meetings, as well as provide regular updates of upcoming events and commitments.
  • Attends meetings as requested to take notes/minutes and distributes meeting minutes, agendas and relevant documents.
  • Accurately tracks expenses for the CEO; processes and submits receipts accurately and on schedule.
  • Produces documents, briefing papers, reports and presentations.
  • Administer calendar, telephone calls and project lists with updates for the CEO.
  • Perform all other duties as assigned including occasional travel.

EDUCATION AND EXPERIENCE:

  • This position requires a minimum of ten years of administrative experience with at least five years supporting a corporate executive. A bachelor’s degree would distinguish top candidates.
  • Other requirements include strong written and verbal communication skills, organizational skills and customer service skills. Must produce written work for the CEO that is error free.
  • Ability to work in a fast-paced environment with shifting priorities.
  • Solid attention to detail with a proactive and upbeat approach.
  • Problem analysis and problem resolution skills.
  • Strong emotional intelligence with the ability, over time, to anticipate how the CEO would think through the decision-making process.
  • Technological savvy – Must be an early adaptor of technology to improve processes and to make the CEO’s life run a little more smoothly. Proficient in Internet research, preparing communications, running and analyzing reports, and strong computer skills. Must be proficient on PC, including Word for Windows, Excel and PowerPoint.

  • This role will have significant exposure to the CEO, as well as other executives, and senior leaders from business, and government. This exposure to senior level executives requires a person who is comfortable, confident and effective at interacting with senior executives.
  • Remarkable communication skills both written and verbal; presentation skills combined with an ability to stay calm in a fast paced and sometimes stressful environment.
  • Strong attention to detail and an ultimate professional who sees things others would not notice unless they were missing.
  • Ability to work autonomously and collaboratively within a dynamic environment.
  • Should possess courage of his/her own convictions – a willing decision maker.
  • Tactful, diplomatic, honest and straightforward – must possess unquestioned ethical standards and integrity.
