Job Description
TITLE: High School West Office SecretaryREPORTS TO: Building PrincipalJOB GOAL: To assure the smooth and efficient operation of the school office so that the office’s maximum positive impact on education can be realized.ESSENTIAL FUNCTIONS:Greet all visitors and determine their needs.
Perform the usual office routines and practices associated with a productive and smoothly-run office
Answer telephone, offer assistance and record or refer messages to the appropriate Principal.
Type all correspondence and documents as requested by the Principals.
Train and supervise student aides.
Input discipline referrals into the student record in Infinite Campus for all students.
Organize and manage detention notices, schedules, and related information for main building.
Create and maintain discipline folders for students of West Office Principals.
Prepare monthly discipline report for building administrators.
Type, mail and record all discipline and suspension documentation.
Keep secure records of all suspensions, short and long term.
Send all legal documentation for long term suspensions to SEC and BOE Attorney.
Keep updated Excel spreadsheet of suspensions for building.
File all medical or other related notes pertaining to absences in student Attendance folders.
Keep updated Excel spreadsheet of attendance folders, and students receiving 100% letters.
Generate semester absences/unexcused report for attendance administrator.
Prepare, deliver and collect extra duty sheets for lunch room supervisors and detention supervisors.
Generate and maintain assigned lunch periods for 5th hour classes.
Gather and generate reports related to intervention and state assessment results.
Generate attendance, suspension, and classes passed data for SPED students.
Maintain and prepare Hall of Fame notebook, nominations, letters and program.
Update and maintain School Improvement data.
Other duties as assigned.
Regular attendance required.
Qualifications
QUALIFICATIONS: 1. High school graduate or equivalent2. Demonstrate typing and word processing skills on district level battery3. Knowledge of basic office procedures and the operation of office equipment, machines and computers4. Such alternatives to the above qualifications as are determined to be appropriate and acceptableAdditional Information
