Primary Accountability:

The Project Coordinator is responsible for ensuring the proper administration on all bids and projects which includes organizing, reviewing and uploading bids as well as reviewing project materials, calculating change orders and printing plans for current bids and projects.

Responsibilities

Bidding

Contact Vendors to receive price quotes for material and freight

Calculate amount of grout needed for installation and price

Enter and data to bid spreadsheet and review for completion and accuracy

Draft detailed yet concise letter

Review bid and bid letter with Project Manager

Distribute to potential customers

Send revisions and communicate with potential customers as needed

Purchasing Material

Create and submit purchase orders to procure authorized material

Coordinate with Warehouse/ Delivery Coordinator to ensure material will arrive where and when necessary

Receive order acknowledgement from vendor, verify it for quantity and price accuracy, file appropriately

Submittals/ Samples

Contact customer to confirm required submittals for products

Review project materials

Locate official product data

Contact manufacturers to order samples

Coordinate delivery of samples and submittals to customer

Project Coordination

Manages checklists to ensure projects move from bidding to completion in a timely and organized manner

Create and maintain project management folders

Order and pick up plans for all current projects

Create project folders to be sent with field staff

Liaison between field staff and office staff

Qualifications

High school diploma or GED is required

A valid drivers license is required

At least two years of office related work experience is required

Strong computer and word processing skills, including Microsoft Word, Excel, PowerPoint, and Outlook is required.

Ability to work independently, organize, monitor and adjust work as necessary to ensure accuracy and

timeliness

Ability to effectively communicate, present information and respond to questions, both in a verbal and

written manner

Ability to identify and solve problems

Demonstrate poise, tact, and diplomacy with the ability to handle sensitive and confidential information and

situations.

Technology Skills

Accounting software ” Intuit QuickBooks

General office software ” Microsoft Office, TSheets
