JOB DESCRIPTION

The Project Coordinator is responsible for ensuring proper administration on projects which includes organizing project schedules, coordinating project materials and tools, and managing project documentation.

PRIMARY RESPONSIBILITIES

Assist in bid preparation, contacting vendors for quotes and information.

Support projects by providing administrative and clerical support, completing special projects and working with Project Managers.

Generate computerized project tracking sheets based on information from the Project Manager.

Maintain Change Order logs, Material Logs and RFI logs. Organize final preparation of project submittals and verify approved submittals for conformity.

Coordinate material purchase orders throughout the project duration. Verify that all material, equipment and tools are being ordered and arriving at the proper job site on schedule and field paperwork is maintained correctly. Communicate with Foreman, PM, office administration and warehouse on status of material and tools. Coordinate delivery schedules of material and equipment to job sites.

Assist in creating any new files for projects and facilitate the copying of plans. Assist in project closeout procedures including O&M manuals, warranty letters and other documentation required.

QUALIFICATIONS

Required: High school graduate or equivalent with trade background and experience.

Preferred: Background in Construction Industry a plus.

SKILLS, KNOWLEDGE, & ABILITIES

Excellent organizational and decision making/problem solving skills. Strong written and oral communication skills to effectively disseminate information. Ability to coordinate multiple projects while meeting required deadlines. Demonstrate tact and diplomacy with ability to handle sensitive and confidential information and situations. Proficient in Software/Computer programs such as Microsoft Office Suite (Word, Excel, Adobe/Bluebeam).
