Small law office downtown looking for a new receptionist. The ideal candidate MUST be extremely organized and able to juggle multiple tasks at once; client interaction along with some administrative tasks as well - all MUST be done with a smile and a fantastic attitude! Attendance and timeliness are crucial; hours are M-F 8:30-5:00.

Receptionist JOB SUMMARY

Responsible for providing administrative support, including greeting clients, answering all incoming calls, directing calls to the appropriate recipient, as well as additional clerical duties such as typing, scanning, filing and working on special projects as assigned.

Receptionist RESPONSIBILITIES

Provides administrative support to office personnel.

Provides reception and telephone reception services.

Processes and manages highly confidential and critical information on an on-going basis.

Maintains a comprehensive filing system, may need to process certain mail and represent the company in a professional manner.

Greets and directs client, vendors and other visitors.

Routes incoming calls and places outgoing calls.

Schedules appointments and gives information to callers.

Receive, sort and deliver mail and packages.

Accepts payments from clients.

Performs related responsibilities as required or assigned.

Receptionist REQUIRED QUALIFICATIONS:

Time and organizational management skills.

Ability to handle the highest level of confidential information with discretion.

Detail-oriented with a concern for order and quality.

Excellent critical thinking and problem solving skills.

Strong written and verbal communication skills with the ability to summarize information effectively.

Excellent interpersonal skills. Comfortable working with internal and external professionals.

Basic computer competence in Microsoft Office (Word, Excel and Outlook) Adobe Acrobat programs and internet research.

Professional and polished presence that reflects a sense of credibility and accountability.

Swift ability to understand preferences and anticipate needs.

Equivalent Education/Experience

High School diploma or Equivalent.

At least 0 - 2 years of relevant administrative experience not necessary but a plus.

Spanish/English bilingual a plus.
