Position Overview:

The Ship & Cargo Clerk is responsible for leading the recording of all cargo movement (discharge, stowing and loading) to and from the customer carrier in a responsible, safe, accurate, and efficient manner. The Ship Clerk will direct the work of all Ship Checkers and work with the Lead Clerk for determining work assignments and job performance of the Ship Checkers.

This position will also interface directly with the customer and is responsible for processing cargo bookings, import/export documentation within established deadlines, and regulatory requirements. Receives reconciles, consolidates and/or summarizes documents and information from customers.

Key Responsibilities:

Ensure that all documentation is submitted timely, checked, corrected, and distributed.

Inform all customers of cargo arrivals/departures, via email/fax with an arrival/departure notice and a copy of the bill of lading. Securing confirmation and file in master file

Collects Bills of Ladings for all assigned customers; check the information on all documentation for accuracy and disseminate for processing.

Secure original bills of lading properly endorsed and delivery orders.

Check that cargo is properly released.

Coordinate and enter all data into the Stevedore Terminal Management System (STMS).

Heavy phone communications answering any questions and informing customers of situations.

Count, inspect, sorty, identify & record storage location of all cargo discharging (or coming off a vessel).

Count, Inspect, sort, identify & record stow location of all cargo Stowed (or being loaded onto a vessel).

Load / unload trucks

Receive cargo on trucks

Load Pipe trucks Direct, sort cargo by PO, Reference #, etc.

Ship out cargo from yard to trucks

Load Rail Cars

Mark & take dimension of cargo.

Keep Written Tallies and Record

Keep record with the use of electronic Equipment (Tablet & Scanner)

Assists in training Checker I & II levels in the area of steel cargo

Coordinate with customers, terminal, port captain,vessel supt, truck lines, receiving yards to have best productive and efficient way to import & export cargo

Candidate Requirements:

Minimum two (2) years’ experience in Customer Service and Import Documentation in the Maritime industry, required.

High school diploma or equivalent.

Intermediate to advanced experience with MS Word, Excel, Outlook

Moderate to advanced typing skills and 10-key by touch (40-45 wpm)

Advanced communication skills in English in order to communicate with customers.

Ability to follow procedures and instructions.

Ability to establish and maintain effective working relationships with customers and fellow employees.

Ability to exercise independent judgment within established systems and procedures.

Possess organizational and time management skills with ability to prioritize and be detail oriented.

4+ years experience in shipping & receiving (Warehouse, Yards, Stevedoring) is required

1 year of experience in handling steel cargo, required

Attention to detail in following & performing basic instructions

Consciencious about safety and quality in work

Proven record of dependability and working autonomously

Strong mathematical skills for keeping counts and tallies

Available for working long hours, holidays & weekends

Ability to Write / Read in English

Bilingual English / Spanish is a plus

Posess computer skills and previous experience on Microsoft Office

Physical Requirements and Working Conditions:

Ability to work a flexible schedule, extended hours, holidays, and/or weekends as needed.

The employee is required to sit for long periods of time and move to and from other locations, within the office and terminal.

Capable of walking, bending, stooping, climbing ladders up to 100ft high and have fast physical reactions (jump, move)

The employee is occasionally exposed to dust, fumes, and airborne particles, toxic or caustic chemicals.

Candidates will be exposed to weather conditions like heat, rain & cold on a daily basis and in some occasions will work in closed spaces (warehouse, vessel hatch, etc)

Ability to work in a noisy environment
