Job Description

The Purchasing Manager will join the KIPP New Orleans Schools (KNOS) finance team, which is charged with supporting our schools and organizational leaders’ ability to educate and serve our students by maintaining flawlessly accurate financial records, processing accurate and on-time financial transactions, establishing vendor relationships and competitive pricing arrangements, and providing data and strategic insights to key decision makers across the organization. This role is accountable for ensuring all purchases required for KNOS’ schools and the regional support office are placed accurately, efficiently, and in compliance with KNOS policies. The Purchasing Manager will work closely with schools and support teams to ensure timely processing of orders and tracking confirmations of receipt. The Purchasing Manager will institute processes that provide financial safeguards for KNOS, ensuring all purchases are authorized and comply with KNOS policies. The position reports to the Director of Finance.

Responsibilities

The Purchasing Manager’s

responsibilities include but are not limited to the following. In executing all responsibilities, the PurchasingManager must focus on excellent outcomes for KNOS students and the organization as a whole:

Management

  • Develop and implement purchasing and vendor contract management processes.
  • Lead the implementation of a vendor performance management system to ensure optional cost, quality, and delivery is performed in alignment with expected contractual outcomes.
  • Propose and develop purchasing optimization processes.
  • Coordinate bulk ordering processes for KNOS.
  • Build and maintain vendor relationship to maximize opportunities for preferred billing and pricing relationships.
  • Propose cost reduction strategies and savings plans.
  • Enhance our business practices to enable our work with MWBE.
  • Direct and coordinate activities of personnel engaged in buying, selling, and distributing materials, equipment, machinery, and supplies.
  • Ensure all purchases are placed accurately, efficiently, and in compliance with KNOS policies.

Administrative

  • Compare vendor invoices with purchase orders to verify accuracy.
  • Tracking, collecting, and digitally filling vendor invoices.
  • Assist Accounts Payable in resolving discrepancies between invoices and purchase orders.
  • Coordinate authorized user’s ability to process travel reservations for KNOS team members.
  • Assist in the reconciliation of KNOS regional credit card statements.
  • Obtain multiple bids from vendors as needed.
  • Place credit card purchases, as needed, for schools and school support office team members.
  • Maintain meticulously organized digital records that are accessible to finance team members

Qualifications

Skills

  • Bachelor’s degree is preferred. Relevant work experience will be evaluated in lieu of a bachelor’s degree.
  • 3 to 4 years of Accounting, Purchasing, Strategic Planning, and/or Project Management experience.
  • Familiarity with vendor sourcing and management.
  • Strong organizing, planning, and execution skills.
  • Ability to synthesize information to develop strategies.
  • Proven experience with building relationships with multiple stakeholders to achieve measurable outcomes.
  • Proficient in the use of Microsoft Office.
  • Excellent customer service skills.
  • Strong quantitative and qualitative analysis skills.
  • Strong attention to detail and organization.
  • Excellent verbal and written communication and negotiation skills.
