Job Overview

A self-motivated Legal receptionist is the gatekeeper of the law firm or legal department. You will work at the front desk in the law firm lobby or waiting area, greeting clients, visitors, and answering incoming calls.

Responsibilities and Duties

Provide administrative support to lawyer and enhance office effectiveness.

Prepare closure letters, deposition letters, court letters.

Update case log books, create file labels, and open new files.

Create and print on the 1st of every month the Prescription List.

Greet clients and visitors and answering visitor inquiries.

Answering and routing incoming calls on a multi-line telephone system.

Scheduling and routing clients.

Setting up conference room for depositions.

Maintaining the waiting area, lobby or other public areas (i.e. open/close window blinds, turn on/off T.V., radio, and open signage).

Scanning, photocopying, faxing, and filing documents.

Collecting and routing mail and hand-delivered packages.

Collect client and visitor payments via Lawpay and follow-up on payment plan clients.

Order client medical records and bills.

Confirm visitor/potential appointments daily via text messages.

Verifying employee, client, and visitor identification.

Type up and file basic legal documents and correspondence.

Answer, take messages, and direct phone calls.

Maintain contact lists.

Monitor deadlines and juggle calendars.

Send updates to clients via text message or correspondence.

Schedule DMA appointments.

Requirements

Satisfactory knowledge of day-to-day operations of a legal office.

Computer literacy.

Proficiency in English.

Working knowledge of case management software (Abacus)

Excellent secretarial and organizational skills.

Ability to juggle multiple activities and work under pressure.

Respect for confidentiality and discretion.

Attention to detail.

Positive, upbeat attitude.

Patience in dealing with difficult visitors/clients.

Dependability

High School Diploma

. At least one year of experience.
