Job Description

Essential Duties:

1. Direct the day-to-day administrative coordination of the Friends Circle RSA program to include:

· Coordination of staff schedules

· Procurement and inventory of supplies and equipment

· Employee files

· Payroll approval and reconciliation

· Client files

· Orienting and on-boarding of new staff

· Time and Attendance oversight

· Maintenance of regulatory binders and survey plan of correction

· Maintain QAPI reports and minutes as needed

2. Respond to resident and family concerns and complaints

3. Participate in the internal and external marketing of Friends Circle program

4. Oversee scheduling of residential services to residents

5. Ensure submission of accurate billing information

6. Develop quarterly report for the Friends Circle Quality Assurance Committee

7. Carry the on-call phone

8. Excellent customer relation skills

9. Perform other duties as assigned.

Qualifications

· Requires a high school education.

· Comprehensive knowledge and ability to develop staffing patterns and scheduling methods.

· Comprehensive knowledge of human relations and human behavior practices.

· Computer proficiency in Microsoft Word and Excel.

· Ability to perform payroll functions

· General knowledge of budgeting, accounting, and staffing for Home Care Program.

· General knowledge of geriatric, social and health care methodology and terminology.

· Strong customer service skills.

· Requires 2 -3 years supervisory experience in a health care setting, preferably in a residential services agency or a home health agency

· Must be able to frequently interact with and provide excellent customer service to all levels of staff, residents, family members, and partners within the community at large

· Requires evening and weekend work, as needed

· Possess the ability to communicate and deal tactfully with personnel, creating and leading a team approach

· Must be able to follow written and oral instructions

· Must be able to work independently

· Must have a valid driver’s license

· Manage day to day operations when Director of Home Care is out of the office.

· On-Call phone conversations around attendance and contract support.

· On-Call every other weekend and as needed to cover for Director of Home Care.

· Homecare companion experience preferred

· Have current CPR certification and First Aid.

· Must have the ability to maintain confidentiality of all resident care information and assure resident’s rights and privacy is protected at all times

· Must positively interact with residents, co-workers and visitors and display a professional and friendly demeanor

· Must maintain a professional, neat and clean appearance

· Must have the ability to accurately plan work routine and complete assigned duties;

· Must be able to work in an environment that includes pets;

· Attend Friends Circle orientation, as required and

· Attend Friends Circle In-Service Training, as required.
