Job Description

Reports To: Terminal Manager, working collectively with colleagues to support / enhance service and operations in a team goal-oriented environment.

GENERAL DESCRIPTION OF POSITION

This position provides fleet management dispatch, customer service, and administrative support which exceeds customer expectations for on-time performance and prompt responsiveness to requirements. Coordinates with customer service to determine customer load requirements and plan and assign loads to drivers. Ensures the timely delivery of loads in a cost-effective manner. Promotes driver loyalty and maintains excellent relationships by communicating effectively and providing optimal solutions to driver concerns.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Accurately enters data into our Fleet Management tracking system.

2. Coordinates with customer service to determine load requirements. Determines if to accept loads based upon customer size, importance, flexibility, and the availability of drivers.

3. Offer loads to drivers and set up schedules in conjunction with the dispatch leadership team. Outsource loads to brokerage firms when required by volume. Monitor load progress to ensure timely delivery. Develop optimal solutions to problems which may affect the delivery schedule including: vehicle breakdown, weather, and traffic, ect. Maintain communications with customers, drivers, and customer service, to ensure timely delivery. Alert all concerned parties of any potential deviations to the estimated time of arrival of shipments.

4. Enter data into the transportation management software to prepare shipping documents per customers requirements and deliver documents to the drivers. Maintain records of driver movement and delivery receipts. Review and approve driver payroll records and either approve payment as submitted or resolve discrepancies.

5. Review and process paperwork received from drivers.

6. Optimize chassis utilization and monitor container locations to minimize demurrage and per diem charges due to delayed pickups. Investigate and resolve shortage complaints.

7. Communicate frequently with drivers to resolve any grievances or problems concerning pay, load assignments or customer preferences.

Perform any other related duties as required or assigned.

QUALIFICATIONS

EDUCATION AND EXPERIENCE

College “ or High School Diploma or GED equivalent, plus 1-2 years related work experience typically required to fulfill the responsibilities of the job.

COMMUNICATION SKILLS

Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, drivers, and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

SUPERVISION RECEIVED

Under general supervision where standard practice enables the employee to proceed alone on routine work, referring all questionable situations to supervisor.

PLANNING

Limited responsibility regarding general assignments in planning time, method, manner, and/or sequence of performance of own work operations.

JUDGEMENT

1. Allocate driver resources to customers based upon size, importance, flexibility and driver availability. Outsources loads to brokerage carriers when drivers are not available.

2. Reviews and approves driver pay and resolves discrepancies when/if needed. Communicates efficiently arising from shipment shortages.

3. Handles both customer and driver service-related issues and grievances, or simply service help and support as needed; resolves these issues independently best case, or when/if needed with support from your colleagues/team/management as needed.

ANALYTICAL ABILITY / PROBLEM SOLVING

Moderately repetitive. Activities with slight variation using a definite set of processes or directions with some degree of supervision. Choice of learned things in situations which conform to clearly established patterns and modes.

USE OF MACHINES, EQUIPMENT AND/OR COMPUTERS

Regular use of machines and equipment (desktop/laptop computer and software).

SOFTWARE SKILLS REQUIRED

Excellent data entry and business correspondence skills. Intermediate level proficiency in MS Outlook and MS Excel. TMW Transportation system usage is a bonus but not required.
