Job Description

The Straumann NAM Human Resources Team is seeking a temporary HR Operations Coordinator to support a myriad of activities across our Human Resources Operations team including but not limited to offer letters, new hire paperwork, internal recruiting communications, personnel filing and maintenance, processing POs and invoices at a minimum. During times of higher volume, this position will also provide support to the HRIS Project Manager in processing data entry into SAP-HCM. This position may also provide administrative support to other functions within the NAM HR region.

The Straumann North America Human Resources Team is committed to providing the highest level of support and guidance the organization. This is a fantastic position for a highly motivated, self-directed individual to gain valuable HR experience in a fast-paced, dynamic, global setting - and have fun doing it!

This position is responsible for, but not limited to, the following:

· Distribute offer letters and new hire paperwork to candidates.

· Receive completed offer letters and new hire paperwork from Candidates and file in respective personnel files.

· Distribute welcome packet to new hires via e-mail.

· Distribute pre-employment or internal transfer alerts to required distribution lists.

· Initiate background checks and escalate outliers to HR Business Partners for review.

· Process I-9 forms for new hires within first three business days of hire.

· Support interview scheduling when required.

· Provide joint support for maintaining the Straumann HR shared inbox.

· Process POs and invoices related to various HR expenses incurred.

· Support data entry in SAP-HCM.

· Support boxing up and shipping HR files off-site.

· When hiring volume is low, may also scan employee files to support our future state of a paperless environment.

Qualifications

· 1-2 years of administrative experience, in HR environment preferred.

· A strong work-ethic, good judgment, detailed oriented, analytical, organized, and able to efficiently work in multi-task in a fast-paced environment. While there is much collaboration within the HR team, this individual must also be able to independently drive tasks to conclusion.

· Aptitude to learn new technologies and comfort managing complex databases and HR systems including Outlook (E-Mail), SAP-HCM (HRIS Database), Smart Recruiters (Applicant Tracking System), DocuSign, Success Factors (Performance Management).

· Excellent knowledge of Microsoft Office Suite (Excel, Word, PowerPoint at minimum is required).

· Expert level Excel required, including ability to perform pivot tables and utilize complex formulas. Knowledge of Excel Macros is a plus!

· Must be able to adhere to strict confidentiality standards and feel comfortable handling a high level of sensitive and confidential employee information.

· General office environment. Can expect to sit for long periods of time. Must be able to work in-office full-time.

· May be required to move or lift heavy boxes of employee files.
