Job Description

Under the direction of the Manager of Admitting Operations, the Operations Supervisor is responsible for managing a wide variety of daily administrative functions, assisting with the coordination of projects, and providing strong analytical support as needed

‘Admitting Operations’ is comprised of the hospital's Main Admitting Office, “ADT” (Admit, Discharge, Transfer) function of the Center for Patient Placement, Surgical Pre and Date-of-Service Registration Teams, and the Emergency Department Registration Team.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

  • Works closely with the Admitting Operations Manager to:
  • Support the implementation of new initiatives and ensure the successful maintenance of existing policies and processes; continuously identify opportunities for process improvement and creating efficiencies
  • Develop and maintain quality and performance measures; provide ad hoc operational and financial analyses as directed
  • Supervise daily operations when necessary and serve as a point of escalation in Manager's absence; maintain collaborative relationship with Department Team Leads
  • Performs other similar and related duties as required or directed

Qualifications

JOB KNOWLEDGE AND SKILLS:

  • Ability and willingness to learn new systems, concepts, and information; develop training material(s) and administer training program(s) accordingly, as needed.
  • Demonstrated organizational skills and attention to detail. Ability to proactively seek solutions/ answers to identified problems/ questions and independently prioritize work; extreme flexibility in work assignments.
  • Strong computer literacy; Outlook, Word, Power Point skills, etc. Ability to perform analytical analysis through the use of, MS Excel; MS Access experience a plus. Comfortable learning new technical solutions.
  • Strong customer service and communication skills; written and verbal. High degree of professionalism is necessary due to frequent interaction with various parties including but not limited to Tufts MC leadership, other Tufts MC Departments, patients, patient families, physicians, insurance companies, and third party vendors/ affiliates

EDUCATION:

  • Bachelor degree is required and 2+ years of experience in a similar/ health-related field
  • An equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed above, may be substituted for the above education and experience requirements.

WORKING CONDITIONS/PHYSICAL DEMANDS:

  • Works in fast paced, high-pressure office/ healthcare environment. There will be significant pressure to meet or exceed goals and expectations. There is little discomfort due to dust, dirt or other environment factors.
  • Constant contact with varying parties through various methods of communication.
