Job Description

This position provides support to the ambulatory clinics by acting as Team Leader, coordinating the work of an assigned group of Patient Coordinators. Works in support of the Supervisor and Business Operations Manager to ensure smooth flow of operations, monitor compliance to established policies and identify improvement opportunities. This position plays a key role in the hospital’s revenue cycle process, clinic operations and enhancing the patient experience.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

  • Acts as team lead for Practice Coordinator role
  • Assists with developing coverage plans and arranging staffing
  • Coordinates the assignment and set up of new staff; processing network request forms, passwords and ordering and setup of new equipment
  • Assists with orienting and training staff; attends training sessions outside department and provides updates back to staff
  • Takes a lead role in template creation and changes; identifies opportunities for better productivity and flow
  • Monitors department expenditures and keeps Supervisor/Manager informed as to budget variance
  • Identifies and participates in performance improvement and other special projects
  • Assists with ensuring regulatory compliance and completes regular rounds to assess areas for improvement
  • Takes a lead role in coordinating billing charge entry and reconciliation
  • Perform tasks core to the Practice Coordinator. Practice Billing Coordinator and Administrative Coordinator roles

Qualifications

JOB KNOWLEDGE AND SKILLS:

  • Prior experience working in a clinic or hospital environment strongly preferred. Knowledge and understanding of health care delivery system.
  • Ability to manage multiple, simultaneous tasks and prioritize according to established criteria and protocols
  • Computer literacy required, including familiarity with email, Microsoft Office programs and scheduling applications. Ability to learn and use Tufts network programs required.
  • Excellent communications skills, both oral and written.
  • Strong interpersonal skills.
  • Demonstrated organizational skills and attention to detail. Ability to work independently to prioritize work and to be flexible in work assignments.
  • Ability to maintain confidential medical information.

EDUCATION:

  • Level of knowledge generally obtained via completion of an Associates degree.

EXPERIENCE:

  • Three to four years experience in insurance, managed care, private physician’s office practice or hospital outpatient setting.

WORKING CONDITIONS/PHYSICAL DEMANDS:

  • Normal office environment.
