Job Description

The project specialist is responsible for complex, deadline-drive administrative support and provides essential services through advanced office management skills. The project specialist must be able to work in a fast-paced environments with the ability to think quickly and successfully handle multiple tasks simultaneously while adapting to shifting deadlines and priorities.

The project specialist will provide comprehensive support to the division by efficiently and effectively supporting both special projects and daily administrative duties. Appropriate candidates will possess excellent communication (including loop closure) and interpersonal skills, ability to work well with others, in both supervisory or support staff roles.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

Special project work may including, but not be limited to:

  • Patient outreach for population health initiatives
  • Supplementing input of data into EMR, particularly but not limited to, items for diabetes patients as well as Social Determinants of Health Forms.
  • Reviewing and sorting return of address mail
  • Helping with billing/charge entry and charge edits mitigation

Daily Administrative work may include, but not be limited to:

  • Sorting mail and faxes and delivery to clinical floors
  • Other general administrative duties

These duties are not all inclusive, other duties and responsibilities may be assigned by Division Leadership.

Qualifications

  • Project Specialists must be adept at developing and maintaining detailed administrative and procedural processes that reduce redundancy, improve accuracy and efficiency, and achieve the goals and objectives of administration.
  • Strong interpersonal and customer service skills necessary. Advanced knowledge and experience with Microsoft Office needed, database experience a plus. Candidate must be detail oriented and self directed.

EDUCATION:

  • Associates Degree preferred.

EXPERIENCE:

  • Understanding of Microsoft Office Suite Software.
  • 2-3 years advanced office experience and/or staff support for professional services firms or project management. Hospital experience is a plus.
  • An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.

WORKING CONDITIONS/PHYSICAL DEMANDS:

  • Normal office setting.
  • Frequent contact with staff, physicians and other hospital and departments
