Job Description

Reporting to the Anatomic Pathology Manager, this position will support Pathology and Laboratory Medicine by providing essential records management skills in the general categories of thoroughly reviewing incoming and outgoing cases, assembling materials and coordinating conference materials.

Strong interpersonal and customer service skills necessary. Working knowledge and experience with Microsoft Office needed. Candidate must be detail oriented and self directed. High school diploma or equivalent with 1-2 years of hospital experience.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

  • Preparation of incoming cases including verifying patient identifiers, accessioning into laboratory information system, labeling and assembling materials for pathologist consultation and subsequent return of materials to outside facility.
  • Coordination of outgoing cases including receipt of required documentation, assembly of slides and/or blocks, facilitation of pathologist review and preparation of materials for shipping.
  • Preparation of Tufts MC pathology materials for ancillary/send out testing. Upon return, upload documentation into EMR and log materials into laboratory information system.
  • Preparation of Anatomic Pathology reports including receipt of report components through multiple modalities such as voice dictation and handwritten.
  • Preparation of case materials for seven to ten conferences regularly.
  • Telephone answering and walk-in reception, typing, filing, copying, faxing and other office duties as required.
  • Perform Revenue Cycle duties as needed, including patient registration and RCO account creation.
  • Participation in the department/hospital Quality Assurance Program by performing data entry and collection.
  • Ordering supplies and materials for Laboratory operations.
  • Slide and block filing as needed.
  • Maintains collaborative, team relationships with peers and colleagues in order to effectively contribute to Laboratory operation and help foster a positive work environment.
  • Enhances professional growth and development through participation in educational programs, current literature, in-service meetings, and workshops.

Qualifications

JOB KNOWLEDGE AND SKILLS:

  • Ability to manage multiple, simultaneous tasks and prioritize according to established criteria and protocols.
  • Medical terminology and knowledge of surgical pathology
  • Good organizational and communication skills, both verbal and written.
  • Intermediate to advanced computer and keyboarding skills. Microsoft Office applications: Outlook, Word and Excel.

EDUCATION:

  • High school diploma or equivalent

EXPERIENCE:

  • 1-2 years hospital office experience and/or staff support for professional services firms or project management.
  • Knowledge of Anatomic Pathology workflow preferred.
  • An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.

WORKING CONDITIONS/PHYSICAL DEMANDS:

  • Normal office setting.
  • Frequent contact with staff, physicians and other hospital and departments.
