Chief of Staff / Office Manager Needed to Support CEO and manage the operations in the growing office

We are seeking a highly organized, proactive professional who thrives in a fast paced environment to support our Chief Executive Officer. The ideal candidate will exercise exceptional judgment while building relationships with key stakeholders, and will also have the ability to quickly analyze complex issues and develop relevant and realistic action plans. This crucial member of the team and will report directly to the Chief Executive Officer (CEO), and will provide executive support to other member of the team.

RESPONSIBILITIES:

Serve as CoS - act in place of CEO and represent him at internal and external meetings. Oversee executive projects and provide feedback to CEO on progress and developments.

Serve as the liaison to the board of directors, investors, advisors, management team and other high level contacts. Exercises tact and discretion at all times.

Manages calendars, meetings, schedules, travel arrangements, expense reports, and other administrative duties daily.

Anticipates and develops materials (e.g. presentation slides, reports, letters, etc.) for meetings, conferences, and correspondence.

Independently performs special projects that require discretion, practical judgement, cost/benefits analysis, technical know-how, and an extremely high sense of detail.

Solicits information from the executive team, provides critical updates, anticipates questions and organizes priorities. Proactive in all areas of work.

Plans, organizes and compiles data. Ensures accuracy of data sources and researches questions and problems.

Responds to a wide variety of requests from multiple sources. Takes initiatives to problem solve.

Applies a thorough knowledge of company operations and policies and procedures on a daily basis.

Provides back-up administrative and executive support to other departments as necessary.

QUALIFICATIONS:

Prior experience as an executive assistant in a high-growth, fast-paced environment is required. Previous CEO support is preferred.

Experience within the biotech/pharmaceutical industry is highly preferred.

Exceptional technical and computer skills, including MS Office Suite (PowerPoint, Word, Outlook, Excel).
