We are hiring "Administrative Assistant" for one of our clients. Job Title: Administrative Assistant Location: Medford, MA 02155 Duration: 3+ Months Contract Job Description: Under minimal supervision, the Administrative Assistant provides advanced administrative support and communications for the department. They will handle complex and confidential situations and requests and serve in a highly visible capacity as resource for department with students, staff, faculty and other constituents. They will monitor the departmental email and phone communications and provide timely response to those requests. They will oversee daily operation of office, evaluating workflow and productivity and providing direction and guidance to office staff. May also coordinate programs and/or projects for department. Essential Functions Provides advanced administrative support and oversees office operations: Provides advanced level administrative support for department. Oversees daily operation of office; tracks status on ongoing matters and follow up as required. Evaluates workflow and reallocates resources and/or redesigns processes to meet office needs and customer service. Provides direction and guidance to office staff and provides feedback on their work performance. Schedules appointments and maintains a complex calendar. Serves as primary department contact for customers: Serves in a highly visible capacity as resource for department including frequent interactions with internal and external customers; communicates on behalf of departmental staff to explain or disseminate information. Triages phone calls and prioritizes mail/email; briefs faculty or managers on issues needing immediate attention. Explains and enforces department policies and procedures. Researches and resolves customer problems and concerns. Escalates emergencies, and other time sensitive issues. Prepares, facilitates and manages highly confidential communications and information. Minimum Required Experience, Education, Background, and Certifications/Licenses High School Diploma/GED and 1+ year(s) of administrative experience. Advanced knowledge of Microsoft Office suite including word processing, spreadsheet and database knowledge. Excellent organizational and interpersonal skills. Strong problem-solving skills.
