Job Description

We are looking for an Executive Administrator tasked with providing high quality and responsive support to our senior leadership team. This is a highly visible and interactive role that focuses primarily on providing administrative, technological, and project-based support. This work is generally of a complex and/or confidential in nature, requiring considerable skill, discretion, judgement, tact, and diplomacy. This position is based within our Norwood facility, and we can offer flexible hours if necessary. More specific responsibilities include:

  • Monitors schedules; coordinates and plans internal meetings, off-site meetings/events, conference calls, etc.
  • Manages travel arrangements (international and domestic) for the team and assists when necessary for other VIPs and high-level intercompany visitors. This includes managing the team’s travel visas and expense reports.
  • Operates as first-line support for any minor IT technical issues the team experiences.
  • Helps the senior leadership team in their efforts to increase the level and quality of communication by exploring and taking advantage of different methods/channels.
  • Prepares and/or edits presentations, spreadsheets, and other documents as required.
  • Anticipates and prepares materials needed for meetings, events, correspondence, travel, etc.; and informs the team on matters to be considered.
  • In team members absence, ensures that requests for action or information are relayed to the appropriate employee; as needed, interprets requests, and helps implement action; ensures information is furnished in a timely manner; decides whether executive should be notified of important or emergency matters.
  • Manages internal and external correspondence, emails, and telephone calls.
  • Maintains and updates relevant SharePoint sites for the team.
  • Responsible for managing a wide variety of high-level administrative projects as needed.

Qualifications

Successful applicants should have significant senior level administrative experience, providing support to and interacting and collaborating with senior leadership. Additional requirements include:

  • High level of proficiency using MS Outlook, Word, Excel, OneDrive, OneNote, PowerPoint, and SharePoint.
  • A positive attitude focused on understanding, anticipating, and responding to the needs of our team.
  • Exceptionally self-motivated and directed. Highly motivated and results oriented with the ability to work independently and in a team environment with ability to easily adapt to change, consistently meet deadlines and excellent follow through.
  • A global mindset. Must be culturally aware and be able to build constructive and effective relationships across the organization.
  • Excellent verbal, written, interpersonal, communication and presentation skills.
  • Strong troubleshooting skills with respect to technology in use at the organization is preferred (including the above-mentioned software as well as hardware and conference room equipment).
