Position InformationPosition SummaryProvide office support to chairperson and faculty members in the Finance and Law department.Required QualificationsHigh school diploma or GED.

Four years of qualifying experience or a combination of education and experience that equates to four years.

Experience with Microsoft Word.

Customer service experience.

Spreadsheet and/or database experience.

Organizational skills with strong attention to detail.

Demonstrated positive interpersonal skills.

Effective verbal and written communication skills.

Ability to project a positive attitude.

Ability to manage multiple projects and meet deadlines with accurate results.

Ability to compose, proo and edit correspondence.

Ability to perform the essential functions of the job.Preferred QualificationsKnowledge of specific software programs and/or mainframe/systems skills may be desired by the hiring department. (i.e. Excel, Access, SAP).

Demonstrated ability to design/maintain web pages may be desired.Duties & ResponsibilitiesPrimary support staff for Department Chairperson:

Prepares faculty and staff appointment forms and tracks signed letters.

Prints payroll sheets utilizing SAP, prepares payroll, and distributes paychecks.

Maintains department budgetary records, tracks and monitors expenditures, prints monthly reports utilizing SAP, reconciles reports, and prepares monthly report for chairperson.

Maintains department purchasing card and log of authorized users.

Utilizes SDOL to review and allocate transactions of purchasing card.

Prepares budgetary forms (departmental receipt, journal entry, employee reimbursement vouchers, invoice vouchers, purchase requisitions).

Purchases supplies and equipment.

Maintains department and personnel files.

Maintains database of department majors & minors utilizing Microsoft Access.

Maintains a listserv of department majors & minors.

Prepares worksheets, schedugraph cards, and forms required for class schedule and prepares forms for changes.

Tracks enrollment and obtains class and student information utilizing SAP.

Distributes department meeting agendas and minutes, compiles materials for meetings and schedules rooms.

Prepares and maintains faculty class schedule and office hour list.

Issues and maintains departmental copy cards.

Issues and maintains record of parking passes given to university guests.

Prepares curricular forms, tracks them through the curricular process, maintains master course syllabi.

Compiles and submits textbook orders.

Prepares copies of assessment tests for faculty and prepares tests for scoring.

Orders supplies for Student Opinion Surveys and prepares packets.

Assists with recruiting process, including maintains database of applicants, prepares correspondence, schedules on-campus visits and makes hotel arrangements.

Conducts department equipment inventory and maintains inventory list.

Prepares ballots and monitors voting process when faculty vote on personnel issues.

Attends training sessions to keep abreast of new (or changes to existing) procedures.

Assists Department Chair with wait-listing and bumps cards utilizing Wait List Administration.

Conducts special projects and assignments as directed by the Department Chairperson.

Primary support staff for faculty:

Retrieves forms and prepares or assists faculty in preparing them.

Compiles materials for faculty advising and schedules appointments.

Orders desk copies of textbooks for faculty.

Prepares signs indicating class schedules and office hours for faculty office doors.

Posts class and office hour cancellation notices for faculty when absent.

Compiles and submits Wall Street Journal subscriptions.

Assists faculty and/or prepares tests for scoring.

Coordinates departmental office space for fixed-term faculty including key-coordinator responsibilities.

Office Coordinator:

Coordinates and monitors work flow of student assistants, including hiring, scheduling, supervision and training.

Prepares outgoing and sorts incoming mail.

Maintains key control for department offices and building.

Maintains 3rd floor directory.

Submits service requests (Facilities Management, moving, and copy machine, computer, telephone and typewriter repair).

Customer Service:

Greets customers, schedules appointments, and handles requests.

Answers telephone, routes calls, schedules appointments, and handles requests.

Develops, prepares and composes responses to e-mail, memos and correspondence.

Receives scholarship applications from students.

Receives coursework or term papers from students and routes to appropriate faculty member.

Personal Financial Planning responsibilities:

Assists PFP Director with yearly registration process for CFP Board.

Collects and coordinates assessment materials working with Real Estate Director, PFP Director, Department Chair and department assessment coordinators, including but no limited to uploads information into WEAVE.

Collects and coordinates accreditation materials working with the Real Estate Director, PFP Director and Department Chair, including but not limited to uploads faculty and other information into OFIS.

Coordinates with Real Estate Director and PFP Coordinator to plan and execute yearly events including Annual Real Estate Conference, PFP Career Fair and competitions.

Scholarship responsibilities:
