In this role, you will provide administrative support for the Human Resources Technology Center (HRTeC) and their Systemwide partners; demonstrate increasing skills in calendar, meeting, and project management; and provide customer service that adds value to the HRTeC team and to leadership across the twelve Districts. HRTeC serves and supports the Federal Reserve System (FRS) by developing and implementing innovative human capital management solutions that meet the evolving needs of the FRS, end users, and each District's Human Resources teams to optimize workforce operations and strategic planning.

About the Role: The People & Strategy division is seeking an Administrative Assistant to join our Human Resources Technology Center (HRTeC) team.

As a member of our team, you will provide administrative support for officers. You will also maintain calendars and manage emails and appointments. Making travel arrangements and completing various projects are some, but not all of the other duties you will have. Your support to other members of the division will include supporting key programs such as the Human Resource Processes and Technology Group (HRPTG) and Human Resources Information Technology (HRIT) group meetings, prioritizing and monitoring project deadlines, and preparing, revising, and developing documents.

Our Administrative Assistant works in an environment that requires a high degree of attention to detail, cooperation, and professionalism. You must be able to handle confidential material and use good judgement when working with and communicating information related to various Bank, System, customer, and product functions.

Key responsibilities include but are not limited to:
  • Maintain and/or monitor electronic and/or paper calendar(s), emails, deadlines, and appointments.
  • Coordinate and/or schedule meetings, calls, and appointments.
  • Handle meeting and event planning details including, but not limited to, coordination with Human Resource Technology Center officer(s) and team members, communications with meeting and program attendees, conference room arrangements, hotel reservations, transportation assistance, dining requests, and audio-visual set-up and maintenance. Provides general support during meetings.
  • Perform receptionist duties and serve as positive point of contact for customers. Respond to inquiries by gathering complete and relevant information, utilizing knowledge of processes and procedures, and/or referring inquiry to appropriate contact.
  • Make travel arrangements (i.e., airline reservations, hotel accommodations, ground transportation, and possible conference registration), prepare travel itinerary for traveler and filing the appropriate paperwork, such as itineraries and travel statements.
  • Prepare letters, memoranda, and reports. Serve as resource to others by proofreading documents for proper Bank style, grammar, punctuation, spelling, formatting. Recommend related improvements to written communications.
  • Update and maintain information sharing tools, such as SharePoint sites and Microsoft Teams channels.
  • Develop reports and complete projects such as creation of presentation materials in consultation with business leaders or officers.
  • Perform various duties such as data entry, maintaining time and attendance records, purchasing office supplies, managing purchasing card expenditures, and monthly reconciliations.
  • Assist with supporting new and current employee needs, including location moves, and technology access and asset requests.
  • Provide back-up support for other administrative assistants as needed.

Qualifications:
  • Typically requires 0-5 years of relevant Administrative Assistant experience.
  • Requires a High School diploma or equivalent.
  • Proficient computer skills including Microsoft Word, Excel, PowerPoint, Teams, various internet applications, and email applications.
  • Working knowledge of audio/visual equipment and ability to troubleshoot minor problems.
  • Excellent interpersonal skills including the ability to interact with high profile public contacts and/or external customers.
  • Strong project management, analytical and interpersonal communication skills preferred.
  • Incumbent must be fully vaccinated against COVID-19, unless the Bank grants an accommodation based on a medical condition or sincerely held religious belief.
