Job Description

The Accounts Payable Coordinator is responsible for all activities regarding accounts payable including vendor maintenance, data entry of invoices, and check processing.

  • Verify purchase order receipts, pricing accuracy, coordinate necessary approvals and enter invoices for payment
  • Manage invoice submission portal including troubleshooting issues and training users and suppliers on best practices.
  • Initiate and respond to e-mail requests and phone calls from vendors and team members.
  • Provide analysis to support accounting team and other business functions
  • Manage vendor setup and maintenance within ERP system
  • Gather vendor tax documents: prepare yearly IRS W-9 reporting
  • Process all vendor payments including wire transfers and manual checks
  • Lead AP process improvement activities including implementation of ACH payment transition
  • Review employee expense reports for accuracy and policy compliance, supporting employee coding questions
  • Coordinate administrative duties including providing invoice copies, and sort and file invoices, check stubs, and miscellaneous items.
  • Maintain focus on continuous improvement by applying 80/20, PLS, and USa principles/techniques and makes process improvement recommendations to management.

Qualifications

Education: High school diploma or equivalent required; Associate’s or Bachelor’s in Accounting preferred.

Experience/Skills:

  • Minimum two (2) years experience in an accounting position
  • Minimum two (2) years ERP system experience
  • Excellent computer and Microsoft Office skills
  • Experience with business applications and accounting software
  • Strong data entry and time management skills
  • Excellent communication skills, verbal and written
  • Excellent interpersonal skills to interact professionally with customers, vendors, and staff
  • Excellent math skills, including basic computations (add, subtract, multiply, divide) and the ability to apply concepts of basic algebra.
  • Highly organized and detail-oriented
