East Central College has an opening for a part-time TRIO Administrative Assistant responsible for providing essential administrative and programmatic support to the TRIO Student Support Services (SSS) program. This position assists the Director and Advisors in managing daily office operations, maintaining confidential student and program files, coordinating communication, and supporting event logistics. The Administrative Assistant plays a critical role in ensuring accurate data collection and reporting to meet federal grant compliance requirements and to advance the mission of student success for first-generation, low-income, and underrepresented students.

The is a part time position with hours not to exceed 19.75 per week. Position is grant funded.

Minimum Qualifications: (A comparable amount of training, education or experience may be substituted for the minimum qualifications.)

Associate’s degree or equivalent required.

Minimum of 18 months of work-related administrative or office experience.

Experience providing customer service to diverse populations is preferred.

Experience working with low-income, first-generation, and/or disabled individuals preferred.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) required.

Experience with database management and basic graphic design skills preferred.

Essential Tasks: (Employee must be able to perform the following essential functions to the satisfaction of the employee’s supervisor.)

Provide comprehensive administrative and programmatic support to the TRIO Director and Academic/Career Advisors.

Manage daily office operations, including reception services, incoming communications, scheduling, and office supply inventory.

Provide high-level support to the Director, including calendar management, meeting coordination, and assistance with budget and expenditure tracking.

Assist with student recruitment, outreach, and retention activities.

Maintain the integrity and confidentiality of all students and program files in accordance with federal and institutional policies.

Support the logistical planning and coordination of TRIO events, workshops, meetings, and student trips.

Prepare and distribute correspondence, forms, and informational materials to students, staff, and community members.

Perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards in a safe manner with minimal supervision.
