Responsibilities will include typical administrative duties such as calendaring, travel logistics, distribution list management, completing and reviewing expense reports, being the go-to expert in team compliance, space planning for Microsoft US, and being a trusted advisor.A successful candidate will have demonstrated work experience in a fast-paced environment. They must have strong attention to detail, planning, organizational, time management skills, and a superpower of connecting dots across efforts. Together we succeed!ResponsibilitiesIn this role, your responsibilities will include, but are not limited to:Calendar management for the Chief of Staff and the Microsoft US Executive Management calendars
Travel logisticsfor both domestic and international (flights, ground transportation, visas)
Event support - this could range from large scale events to the leadership holiday party
Own employee morale for the team, including birthdays, team lunches, and thank yous
Procurement of goods/supplies and managing purchase orders needed to pay vendors
Ensure compliance of administrative operational policies and procedures
Maintain team aliases and security groups to ensure accuracy for team communications
Manage logistics and distribution lists for the Leadership Team, Chief of Staff, Business Manager, and Manager Advisory Board Communities
Facilitate the selection process for several awards
Own the MSNA Office and Executive Common Calendars and rhythm of the business meeting cadences
Backup to the MSNA President’s Executive Assistant
Own the hiring and onboarding process
Organize team meetings and agendas
Special projects, as needed

The ability to communicate effectively with others at all levels within the organization, as well as our valuable partners and clients

QualificationsRequired Qualifications5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
Preferred QualificationsBachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
OR equivalent experience.
Demonstrated customer service ability with strong written and verbal communication skills
Adept proficiency with Microsoft productivity software including Word, Outlook, PowerPoint, Excel, and SharePoint.
Willingness to engage in some travel
Willingness to work overtime hours occasionally
2+ years experience serving as a mentor to others.
3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
