The Reservation Specialist will provide support in the daily operations of the membership club and will be responsible for assisting with inbound communication including (but not limited to) phone calls and emails for Fairway Grill reservations, member FAQs, and event inquiries. The Reservation Specialist will also be responsible for directing event-related calls to the appropriate department and following up on special member requests to ensure a seamless and personalized experience. Key Responsibilities: Serve as the first point of contact for all inbound calls, addressing member inquiries promptly and professionally. Provide accurate and up-to-date information regarding club offerings, menus, events, and policies to members. Provide accurate information regarding Zero Bond club experiences to non-members and inquiring guests Redirect inquiries related to membership or special events to the appropriate department. Handle Fairway Grill reservation requests via phone and email, ensuring timely confirmation and accurate entry into SevenRooms pending availability. Make note of member preferences and special requests on SevenRoom guest profiles, maintaining attention to detail and service standards. Be able to answer and respond to inquiries about member events and private dining experiences. Collaborate with event and operations teams to confirm details and logistics for member bookings. Identify and flag high-value members (PPX) and communicate priority requests to management for expedited handling. Follow up on special member requests to deliver a personalized and seamless experience. Maintain confidentiality and uphold the club’s hospitality standards in all interactions. Distribute daily forecasts, VIP listings, and relevant updates to internal teams. Track concierge referrals and generate reports to support planning and operational efficiency. Maintain accurate records of member interactions and requests in reservation and communication systems. Work closely with the concierge and other departments to ensure smooth handling of FAQs, reservations, and event logistics. Communicate effectively across teams to resolve issues and deliver consistent member experiences. Address member concerns promptly, providing solutions or escalating to management when necessary. Utilize reservation and CRM systems to log interactions, track requests, and maintain data integrity. Stay informed on system updates and best practices to ensure operational accuracy.
