MEDICAL - Surgery Scheduler

The Surgery Scheduler is responsible for coordinating and scheduling all surgical procedures, appointments, and pre-operative/post-operative visits. This role ensures timely communication with patients, providers, insurance companies, hospitals, and surgery centers. The ideal candidate is a strong communicator with excellent multitasking skills and a commitment to accuracy and patient service.

Key Responsibilities:

- Scheduling & Coordination

- Schedule surgical procedures, diagnostic tests, and in-office appointments.

- Coordinate surgery dates/times with hospitals, surgery centers, and providers.

- Schedule new patient visits and follow-up appointments as needed.

Provide patients with pre-operative instructions and preparation guidelines.

- Confirm post-operative appointments and ensure all required paperwork is completed.

- Communication & Patient Support

- Answer and triage incoming phone calls.

- Communicate clearly with patients regarding surgery details, timing, and requirements.

- Serve as a liaison between the provider, patient, insurance companies and facility staff.

- Authorization & Insurance Coordination

- Obtain prior authorizations for surgeries, procedures, and imaging.

- Verify insurance benefits and eligibility for surgical services.

- Submit required documentation to insurance companies.

- Communicate with hospitals and surgery centers to ensure all necessary authorizations are in place.

Administrative Duties

- Maintain accurate and up-to-date records in the scheduling system/EHR.

- Ensure all surgical paperwork and consents are completed and uploaded.

- Track pending authorizations and follow up promptly.

- Assist with other administrative tasks as needed.

Qualifications:

- High school diploma or equivalent required; medical office experience preferred.

- Prior experience as a surgery scheduler, medical assistant, or similar role (preferred).

Knowledge of medical terminology and insurance authorization processes.

Strong organizational skills and attention to detail.

Excellent communication skills, both verbal and written.

Ability to multitask and work in a fast-paced environment.

Proficiency with EHR systems and scheduling software.
