The Role: Project Coordinator

At GoPro Interiors, our Project Coordinators are the driving force behind our client’s projects. As a Project Coordinator, you'll work closely with Project Managers to coordinate and prepare detailed project plans for commercial/custom homes flooring and countertops installations, ensuring everything runs smoothly from start to finish.

What You'll Do:

Manage Project Paperwork Flow: Oversee the timely handling of all documentation related to Account Manager or Account Executive projects, ensuring accuracy and compliance with contract specifications. Submittals.

Contract & Order Review: Identify and verify contracts, purchase orders, and change orders, ensuring that all changes are accurate and properly documented.

Customer Relations: Foster positive customer relationships by promptly returning documents and maintaining clear communication throughout the project lifecycle.

Paperwork Tracking: Create and maintain routing sheets to efficiently track the flow of documentation within the office and ensure timely processing.

Product Availability Coordination: Communicate with mills and distributors to confirm product availability, coordinating material orders and delivery schedules.

Material Order Management: Place material purchase orders, track shipments, and ensure on-time delivery to meet project deadlines.

Adapt to Changing Schedules: Demonstrate flexibility and urgency in responding to rapidly changing project timelines and requirements.

Supplier Follow-ups: Consistently follow-up with suppliers, managing up to thirty separate shipments at a time, ensuring timely updates on order status.

Freight Management: Arrange cost-effective and efficient freight for product shipments, balancing speed and budget constraints.

Billing Coordination: Distribute Salesperson billing summaries bi-monthly and ensure timely and accurate billing for completed work.

Documentation Management: Maintain comprehensive documentation in both physical job folders and the computer system to support project tracking, billing, and verification.

AIA Billing Preparation: Prepare and submit monthly AIA-style billing, ensuring all supporting documents are in place for payment processing and final invoicing.

Change Order & Extra Billing: Identify additional work or change orders, prepare necessary billing documents, and verify accuracy before submission to clients.

Credit & Client Communication: Submit billing documents to the Credit Manager for approval, and ensure client approval of payment applications prior to drawing dates.

Project Close-Outs: Complete final project close-out documentation, ensuring all payments and paperwork are finalized for project completion.

What We're Looking For:

Proven experience as a Project Coordinator in construction administration or a similar field.

Strong project management skills, with the ability to handle multiple tasks and shifting priorities.

Proficiency in Google Drive, Microsoft Project and Microsoft Planner.

Excellent time management and communication skills, with a knack for problem-solving.

Detail-oriented with a focus on accuracy, especially when it comes to documentation and billing.

Preferred Qualifications:

BS in Business Administration or related field.

Experience with risk management and quality assurance control.

Familiarity with project management tools and techniques.

PMP or PRINCE2 certification.
