Job Description
BASIC JOB FUNCTIONS/RESPONSIBILITIES:
Process the daily functions of payroll, purchasing and general office administration. Assist with coverage for vacations, travel, meetings and illness.
Payroll:
- Complete daily Kronos timekeeping audits. Work with facility managers with resolution of discrepancies.
- Submit accurate payroll data for all hourly associates to corporate weekly. (Backup)
- Submit all temporary associates payroll to represented agencies weekly.
- Post vacation time to facility master calendar. Update facility event calendar
- Assist with any additional payroll administration functions for the facility which includes timely incident communication with managers, and unused personal time payout at year end.
- Assist associates with all Workday issues
- Manage all temporary associates in Workday and organization charts
Purchasing:
- Purchase supplies used throughout all departments within the facility
- Oversee weekly audits of facility supplies and maintains adequate inventory levels
- Create purchase requisition, process all PO’s for timely payment
- Resolve all ONBase invoice discrepancies weekly
- Set up all new vendors, ensure W-9 documentation and Moen billing requirements are followed
- Local point of contact for vendor inquiries- to resolve or refer to Corporate Accounts Payable
Office Administration:
- Greet all visitors, direct incoming calls, screen emergency calls
- Maintain announcements and company information on all facility monitors
- Possess broad knowledge of the organization operations and policies
- Update daily/monthly - all facility performance spreadsheets
- Assist in all aspects of facility functions, such as celebrations, various lunches, etc.
- Participate in all environment, safety, health, and security programs to ensure a safe and secure work environment
- Coordinate service for office equipment as needed
- Collect quotes for materials and services. Prepare cost comparisons for Manager review
- Coordinate and schedule all conference room events.
QUALIFICATIONS:
- High School diploma or equivalent
- Associate/Bachelor’s degree preferred in Business, Human Resources or related field.
- Administration experience preferably in a human resource environment.
- Knowledge in payroll systems, ie: Kronos
- Must possess a business orientation and excellent interactive skills to function as a business partner.
- Demonstrated success handling multiple priorities working in a fast paced environment dealing with fluctuating priorities and minimum supervision.
- Must have the flexibility to work extended hours to support plant events and activities on off-shifts as needed.
- Outstanding communication skills, both oral and written.
- Demonstrated PC, and MS skills (Excel, PowerPoint, Word, etc.).
