Compliance AdministratorSpruce is seeking a Compliance Administrator to ensure the firm’s fulfillment of administrative and reporting requirements for State, Local, and Federal government client contracts. The Compliance Administrator will exhibit exceptional dedication to accuracy and detail, will spend a significant percentage of work hours completing forms and reports, and will have an interest in helping the company develop procedures and audits to ensure ongoing compliance. This position will report to the Vice President of Contracts and will work closely with other departments across the company, including Contracts, Finance, HR, Proposals, Business Development, and senior management, to help the company comply with all requirements and obligations of being a supplier to State, Local, and Federal government entities.

Responsibilities will include:
  • Accurately, thoroughly, and expeditiously complete electronic and physical forms required in order to bid on, enter into, and maintain government contracts
  • Complete applications and renewals for corporate business registrations, business licenses, Minority Business Enterprise certifications, annual filings and other requirements for doing business in various jurisdictions nationwide
  • Complete quarterly/annual reports for government contracts, such as subcontractor/MWBE utilization, sales, EEO reports, lobbying forms, and ethics disclosures
  • Implement internal procedures to maintain and audit compliance with Federal GSA Schedule 70 and other master contract requirements.
  • Maintain and regularly update spreadsheets used to track and report on these requirements
  • Maintain and regularly update a spreadsheet or simple database of confidential company information needed to complete forms related to corporate disclosures
  • Coordinate meetings and communicate with other teams across the company to proactively obtain accurate and up-to-date information for reporting needs on a weekly, monthly, quarterly, or annual basis
  • Manage record retention for government contracts by filing and archiving all related documentation at the end of a project
  • Work with others in the PMO, Finance, Staffing Administration, HR, and Contracts teams to improve reporting processes as needed

Required Skills:
  • Exceptional problem solving and analytical skills
  • Exceptional attention to detail
  • Prior experience as an administrative assistant, preferably with some exposure to some aspect of government contracting or procurement
  • Proficiency in Microsoft Excel, Word, and Outlook
  • Strong interpersonal skills and communication skills
  • Ability and desire to learn rapidly
  • A commitment to integrity, honesty and transparency
  • Sound judgment in dealing with highly confidential information
