Job Title: Governance OperationsLocation: East Hanover, NJDuration: 5 MonthsThe Governance Boards are cross functional teams that review engagements with external influencers (HCPs, Patients, Caregivers, Advocates, etc.), including but not limited to, consulting arrangements (Advisory Boards, HCPs presenting at Internal Meetings, Ad Hoc Consulting), as well as different types of speaker programs. We currently have 6 Franchise Governance Boards, and each meets on a weekly basis.Submissions are managed via an internal digital platform. The operations coordinator would assist in reviewing the requests when they first come into the system. The purpose of this review is to ensure all of the applicable information is included, there is sufficient detail for the Boards to review, the appropriate attachments have been included, and the categories have been filled out appropriately. This would include working with Project Owners from across the organization, both in and outside of the US, to coach/provide feedback on specific submissions, ensure timelines are being adhered to, etc.The operations coordinator will create agendas with the submissions that have gone through the initial readiness check, and disseminate the agenda to the appropriate individuals.Skills:-Assist in day to day operations of US Pharma Governance Office, including, but not limited to:-Conduct initial Governance Board submission review and coach submitters accordingly, to ensure quality documentation in advance of Board review.-Coordinate and support weekly Governance Board meetings, including dissemination of pre-reads to Board members. Keep time during Governance Board meetings and communicate with submitters accordingly to ensure availability and participation-manage off-line Board review of appropriate submissions-manage post-meeting requests and associated documentation in centralized systemSome additional tasks:-coordinating offline reviews if/when the Governance Board does not meet live or there is a need to expedite review of a submission via email. This includes tracking Board email responses, consolidating questions/guidance from members, and working with Project Owners to share guidance and/or get clarification on questions-management of post-approval requests. After a request is approved, a project owner may have an update to the approved activity (i.e., increase to the hours, change in attendees, change in date, etc.). The coordinator will work with the Governance Office team to determine whether review of the change is required, and if so, triage offline review with appropriate Board member(s), track responses and document approvals-Project Owners come from all areas of the organization and all levels, therefore it is imperative that the candidate be comfortable in communicating across all levels of the organization, with associates from other countries, etc.-The coordinator will need to be able to manage, at times, significant volume and variety of submissions across franchises and be able to prioritize accordingly in accordance with required process timelines and deadlines.

3-5 years' experience in Pharmaceutical industryExperienced in communicating to multiple levels of an organization and across matrix organizations. Skilled at structuring and managing appropriate stakeholder reviews, both formal and informal. Ability to manage significant volume of work and prioritize accordingly. Proactively manage change and/or conflict, identify and resolve issues with and within the project team. Knowledge and understanding of Pharmaceutical Industry regulations and compliance preferred.
