PROJECT COORDINATOR LAWRENCE TOWNSHIP, NJ Hybrid: 2+ days Onsite. Project Description:

  • Project Inquiry Support/Project Intake:
    • Keep potential project grid up to date.
    • Assist in maintaining of electronic folders.
    • Attend & capture project scope details & meetings.
    • Development/dissemination of documents/presentations/decks related to potential projects.
    • Support development of Shared folders used to illustrate different capabilities.
    • Support scheduling of meetings or run smaller meetings.
  • Activating Projects/Production Support:
    • Adding new projects to Project Log with all necessary project details.
    • Creating project folder on Sharepoint; placing Brief and Estimate and any other documents (e.g., storyboards, scripts, etc.) in folder(s).
    • Alerting team on status of documents.
    • Grant FTP access for employees and vendor partners.
    • Confirm vendor PO's have been opened.
    • Book/coordinate travel for locations shoots, as needed.
    • Assist producers with ordering or purchasing necessary catering and craft services for all remote and studio productions through both the cafeteria and outside vendors.
    • Assist in retrieving guests from the reception desk when necessary.
    • Support team on active production days.
  • Document maintenance:
    • Keep Project Log updated and current.
    • Keep Producer Assignment sheet updated and current.
    • Coordinate with other department members in delivering timely and accurate financial reports when requested.
  • Closing projects:
    • Confirm producer has closed out project on Sharepoint.
    • Update Project Log with final actuals, closing date.
    • Upload high-resolution final versions of all videos to Content Central (including backlog of work that needs to be uploaded as well).
    • Confirm all invoices are submitted.
    • Other responsibilities as assigned.
  • Note the candidate will not be creating videos.
Required Skills:
  • Bachelor's degree in Business Preferred.
  • Knowledge of video production a plus, strong ability to work in fast paced matrix environment, high performer.
  • Experience with ARIBA, Concur, and MS Excel are required.
