REGULATORY AND MEDICAL AFFAIRS LAWRENCE, TOWNSHIP, NJ Hybrid Role. Required Skills:
- Bachelor's Degree and experience in the pharmaceutical industry or associated service providers .
- Experience working in a highly matrixed organization with several cross-functional teams .
- Strong project and financial management skills and demonstrated ability to manage numerous project timelines simultaneously to meet hard deadlines .
- Experience with operational processes and accountable for process improvement to improve efficiencies .
- Collaborative and strong at overcoming challenges to achieving objectives .
- Strong verbal and written communication skills (fluent in English) .
- Proficient with Microsoft Office Suite (Word, PowerPoint, Excel), SharePoint, MS Teams, contracting and financial systems (Ariba, SAP/RPM) .
- Demonstrated ability to learn independently and to apply knowledge across all services/deliverables .
- This role reports directly to the WW FME Lead for Immunology & Fibrosis and supports the team by project managing trainings/meetings, deliverables, timelines, agencies, and budgets .
- Oversees the activities of external Agencies including provider performance, timelines, contract processing, and deadlines to ensure that team objectives are met .
- Documents team and agency processes and ensures consistency and team alignment .
- Schedules Field Medical trainings, team meetings, product launches, presentations, and systems.
- Collaborates across the Medical Matrix to ensure that attendance is high and that conference rooms are booked (when Live) .
- Manages the team annual training calendar coordinates with internal/external presenters and company's cross-functional teams to ensure training/meeting session readiness.
- Coordinates session recordings and their distribution .
- Coordinates WW First Line Manager quarterly meetings, quarterly WW Field Medical I&F franchise calls and meetings with Markets (MS Teams) .
- Tracks team congress attendance, updates requests with accurate information, and assists with coordinating travel & registrations, as needed .
- Updates budget reports monthly and tracks budget spend throughout the year to meet financial objectives .
- Collaborates across the WW FME team to ensure optimal budget spend and negotiate needs as they arise.
- Participates in April/Sept Projections as well as annual Functional Planning to align team tactical plans with budgetary needs .
- Assists in developing and distributing a variety of internal communications including access to systems/materials, pre- and post-meeting notes, newsletters, and metrics reports .
- Coordinates with internal partners (EMCoE) on consultant engagements and searches the Consultant Database for contracting options .
- Manages team content repositories (eg, Veeva Vault, SharePoint) including uploads and file organization per guidelines .
