Job DescriptionIn April 2020, our Company announced plans to consolidate our New Jersey campuses into a single New Jersey headquarters location in Rahway, NJ by 2023. Therefore, this role will be temporarily based in a and exact timing of the departmental move to Rahway, NJ will be communicated at a future date.The Research and Development division HR department has an opening for a HR Coordinator who will be responsible for supporting the Vice President, Human Resources Research Laboratories.The individual selected must have the ability to prioritize and complete deliverables across various stakeholders, have strong verbal and written communication skills, ability to work both independently and collaboratively, be comfortable with multi-tasking on diverse responsibilities, be flexible, and able to work in a fast paced, deadline-driven environment. A high degree of professionalism and confidentiality is required due to the sensitive nature and policy requirements for human resources data. The ability to build and manage relationships in a cross-functional, matrix organization is necessary. A strong orientation toward data analytics, comfort working with systems and Microsoft applications is required.Responsibilities include, but are not limited:Partner across the different internal and external organizations to assist and help ensure Research and Development division HR team needs are met, including providing assistance in terms of troubleshooting issues, related HR policies, processes, or procedures, adhere to all compliance and policy requirements of HR and the company.

In collaboration with and under limited supervision of manager, supporting the leadership team in the administration of various processes, special projects, headcount, budgeting, and other projects for the Company, Division, and department.

High attention to detail, prioritization of work, and management of deliverables and follow-ups with little supervision.

Creating and distributing highly confidential reports.

Responding effectively and in a timely manner to numerous stakeholders to answer questions and direct people to the right resource to resolve problems.

Represent the Research and Development division HR team to internal and external stakeholders, partner across the organization as needed to meet objectives.

Managing the calendar, including appointments, meetings, conferences, and travel arrangements for the VP and team members as needed.

Manage team sites, electronic files, and other data in a systematic way and detailed way for enduring use.

Preparing, processing, and reconciling expense reports, purchase orders, and payment requests, as needed. Leading the work of tracking budgets and costs.

Maintaining appropriate filing system to provide prompt retrieval of all reports, correspondence, and other materials while maintaining compliance related to company retention schedules and legal holds.

Education:Required: High School Diploma or equivalent

Preferred: Advanced education or certifications (e.g. Associate’s Degree, Certified Administrative Professional, Project Management Professional Certification)

Required Experience and Skills:Ten (10) years administrative experience and five (5) years’ experience supporting a senior executive

Advanced computer skills (Excel, Power Point, MS Word, etc.) and operation of other related programs, including advanced knowledge of SAP and other company systems. Preparing sophisticated PowerPoint presentations and complex Excel spreadsheets. Ability to prepare and assist with elaborate PowerPoint presentations and manipulate/ work with advanced Excel spreadsheets.

Exceptional level of administrative, organizational, planning and follow-up skills with demonstrated accuracy.

Ability to handle highly sensitive information with discretion and confidentiality (this will be critical to the position).

Previous experience managing budget

Demonstrated experience coordinating/scheduling multi-leg domestic and international trips requiring the processing of visas/passports.

Exceptional interpersonal skills and the ability to manage relationships with internal and external parties are essential, including displaying flexibility and sensitivity with others across other geographies, languages, and cultures.

Must be able to work under pressure and handle multiple tasks, as well as demonstrating accuracy, attention to detail, the ability to exercise initiative, flexibility, tact and good judgment, be diligent and proactive in anticipating needs, and maintain a high level of confidentiality.

Effective business communications - both written and oral to interact with company executives, managers and employees.

The person must be able to work independently and be a "self-starter" with the ability to prioritize.

Ability to problem solve through investigation and solution identification.

Preferred Experience and Skills:Strong working knowledge of our company, its policies and procedures, and familiarity with the various divisions and functions.

Experience in HR.

Knowledge of HR Reporting tools including VISIER, Workday.

Project management experience.
