Job Overview:

Settle Down the Shore, a branch of Settle Down Realty, is a boutique real estate brokerage dedicated to assisting clients in selling or purchasing their home. At Settle Down the Shore, organization and streamlined procedures are key to our success.

The Office Manager position is dedicated to an individual who, with utmost organizational skills, can ensure the office is running smoothly on a day-to-day basis. This individual will act as the face of the company, one who greets visitors, clients, and employees daily, and creates a welcoming and inviting office space and culture. As problem solver and reliable leader, the Office Manager is the back-bone of the company.

Duties and Responsibilities:

-Greet company visitors, answer incoming phone calls, manage personal and company emails, and respond to all company correspondence

-Receive incoming mail and deliver to appropriate individual

-Maintain the appearance of the office

-Undertake Quickbooks, office expenses, and accounts payable

-Oversee and maintain office listings

-Utilize the company’s CRM and manage office leads

-Monitor office supplies/inventory and order when necessary

-Oversee agent on-boarding

-Provide agent support, as needed, including technical support and provide answers and resources as requested

-Manage social media accounts and website

-Manage and maintain office files, both online and paper, including licenses and insurance

-Provide administrative and technical support, as needed, for the owner. This includes scheduling appointments and meetings, writing contracts and maintaining files.

-Keep organized office procedures and operations

-Implement office policies

-Additional administrative tasks

Qualifications:

-Proven office management experience with 2-5 years of experience and previous customer-facing work experience

-Exceptional communication skills, written and verbal

-Proficient in MS Office and GoogleSuite

-Knowledge of accounting software

Important Notes:

This position will be a virtual position until the physical location is open November 2020. During this virtual time, you will be expected to on-board and complete office tasks to the best of your ability with the help of our Philadelphia staff. When the office opens on November 2, 2020, hours will be Monday-Friday, 8:30am-5pm. This is not a permanent remote position.
