The Workplace Services (WPS) team is responsible for curating and sustaining our unique ServiceNow work environments worldwide, helping to bring our purpose to life in the physical sense. We are accountable for the entire life cycle of our physical workplaces, from ‘ideation to expiration’, and we are a vital influencer of the employee experience by way of our workspaces, services and amenities.

Role Description

In the role of Workplace Services Administrator, you will be contributing to a company that lives its brand and understands that WPS plays a critical role in defining the future. This individual will be an essential addition to the team, taking ownership and responsibility of WPS Programs and Services for our ANZ offices.

You will be bothexecution-focused, helping to ensure our day-to-day business runs the way it should, andstrategy focused, helping to ensure we are contributing to the long-term health of ServiceNow. You will move between these elevations frequently.

You will develop, deliver, and manage employee programs, including Food & Beverage Services, Appreciation Events, Wellness, etc. You can both maintain and lead the program while providing stellar customer service.

Responsibilities

· Lead all Workplace Services Programs (WPS) forour ANZ locations, including Food & Beverage Services, Event Management, Amenities, Wellness and Perks.

· Regular communication to employees via our communication pathways notifying them of employee experience initiatives.

· Meet and update key stakeholders as required and feed any comments to the Workplace Services team.

· Organize events to include room readiness for training classes, meetings, etc.

· Set up conference rooms/training rooms as required

· Manage work order system, including receiving and reviewing requests, assigning work orders, and tracking completion/closeout

· Provides quality customer service; follows up with clients to ensure customer satisfaction

· Manage a portion of OPEX & CAPEX budget for job responsibilities

· Ensure successful operation of workspace/facility

· Responds to client/customer inquiries and complaints

· Conducts regular inspections of the facility for cleanliness, the functionality of all systems; noting anything that might need repair, cleaning or stocking up

· Solicits bids and quotes from vendors, enters PO’s, approve invoices through their lifecycle

· Assists in managing vendors for WPS, including HVAC, electrical, plumbing, security, janitorial, furniture, indoor foliage, kitchen services, linen services, and first aid

· Assists with general maintenance, troubleshooting and repairs

· Assists with company moves/adds/changes and new employee setups

· Assist in space allocations among departments

· Assists with maintaining a clutter-free and safe working environment

· Assist and implement H&S plan for the location, recruit and train members and conduct annual drills

· Recruit and train facilities related staff as we grow

· Be a pivotal partner to, and customer of, our Portfolio, Planning & Design, Safety & Security and Project Management program offices

Qualifications

· 3-5 years of experience in event management & hospitality management

· Ability to maintain professionalism always under pressure

· Ability to plan and manage work under time constraints

· Ability to identify, resolve or appropriately escalate problems

· Ability to work effectively with minimal supervision as an individual and as part of a team

· Strong organizational skills and a collaborative style needed

· Ability to communicate clearly, effectively and professionally (verbally and in writing)

· Ability to work a flexible schedule, including overtime, early mornings, evenings and weekends as needed to meet department and company demands

· Proficient in MS Office, Outlook, Excel, PowerPoint

Flexible employees may choose to work the remaining working time from their workplace location or home. Flexible employees are required to work within their state, province, region, or country of employment.

Remote

A remote work persona is defined as an employee who performs their responsibilities exclusively outside of a ServiceNow workplace and is not contracted or aligned to a ServiceNow-affiliated office,including those whose place of work (pursuant to their terms and conditions of employment) is their home. Remote employees are required to workwithin their state, province, region, or country of employment.
