OVERVIEW:

2-4 years minimum, current experience as a Legal Secretary

You must be available to start immediately, wantÂto work and have excellent attention to detail.

This would be a temp to hire arrangement.

A background specifically in Business or Transactional law, such as tax, real estate, probate, estate planning will be best for the candidate to succeed.

BASIC FUNCTIONS:

Assist lawyers and paralegals in the rendering of professional services to the firm's clients by administering the day-to-day flow of office work between and among all internal personnel and internal departments resulting in a timely and accurate work product.ÂÂPerform miscellaneous secretarial duties.

Coordinate with support personnel and other office departments the flow of work product for paralegals and attorneys to meet specific deadlines. Use independent judgment in dealing with a myriad of work assignments from several lawyers and paralegals to administer the daily flow of work, thus prioritizing this work to meet deadlines.

Under paralegal or lawyer direction, produce or oversee production and distribution of correspondence letters, memos, transmittals, court pleadings, documents and miscellaneous typing. Often, transcription is required to produce these.

Perform miscellaneous secretarial/administrative tasks for individual lawyersÂsuch as setting up meetings, making travel arrangements, keeping personal files,Âdealing with their clients, message taking, returning phone calls for them, making lunch reservations, secretarial duties for office committees, completing and researching information for NBRs, registering attorneys and paralegals for CLEs and making all arrangements.

Create and organize files according to guidelines. As needed, back up file center and paralegals in filing tasks, file and document retrieval tasks.

Act as back-up to paralegals due to either their work load or their absence by assisting with paralegal tasks. Frequently, secretaries are expected to compose correspondence, pleadings, documents in lieu of a paralegal; make investigative calls for aparalegal or attorney to retrieve information; prepare and oversee final pleadings for filing with the courtÂor appropriate agency; create indexes of pleadings, files, documents, etc.

Perform Âcalendaring/docket Âcontrol Âtasks Âby Âcalendaring Âall Âincoming Âmail according to guidelines; this entails reading all mail and pulling out all due dates that must be met by attorneys in order to avoid malpractice.ÂSome departments use a follow-up system as back-up to the attorneys' due date reminders.

Perform miscellaneous tasks such as witnessing wills, notarizing documents, making deliveries/pick-ups; prepare documents for closings, depositions, trials; prepare and organize books and notebooks; prepare closing transcript books and attorney books.

Proof-read all paralegal and attorney work product and all else as assigned; copy editing and red-lining.

Learn how to and be available to cover at least one other desk (cubby mate, usually).ÂÂ

Perform other related duties as assigned.Â

MINIMUM REQUIREMENT:

Education:ÂÂHigh school completion or equivalent.Â1 year business school desirable or legal secretarial course desirable. Some college work desirable in lieu of business school.

Experience:ÂÂMinimum 4 years legal secretarial experience

Specialized or Technical Knowledge and Skills:

Accurate typing skills (70 wpm). Must possess all legal secretarial skills pertinent to area of assignment. ÂMust be well versed in legal terminology. Ability toÂexpress self effectively, both orally and in writing. Ability to establish effective working relationships throughout operational groups. ÂStrong command of the English language including excellent spelling, grammar, punctuation, form and style. Basic knowledge of tape transcription and ten-key adding machine a plus. Good knowledge of personal computer and computer system utilities. Ability toÂoperate a variety of copy machines and good knowledge of machine capabilities.ÂAbility to compose routine correspondence. Excellent organizational skills for prioritizing workload. Good knowledge of library operations and records storage procedures for retrieving materials and files for case work. Good knowledge of records management.

RESPONSIBILITY & DECISION MAKING AUTHORITY Â- ÂDegree Âof ÂIndependent Decision Making:

Continually expected to make independent decisions based on knowledge of what a particular paralegal or attorney would like done. Responsible for completing legal secretarial duties most often with no supervision. Calendaring/docket control and follow-up responsibilitiesÂmustÂbe performed accurately.Â

CONTACTS WITHIN AND OUTSIDE ORGANIZATION:

Within:ÂAll levels within the organization.

Outside:ÂFrequent contact with clients, attorneys from other firms, secretaries from other firms, legal assistants from other firms, judges, court personnel, travel agency representatives and other service agency personnel; state, city and federal officials.Â

FINANCIAL RESPONSIBILITIES RELATED TO JOB:

Frequently asked to research aÂparticular cost on a client billing. Lawyers' expense reimbursements. Request checks for paying bills (accounts payable) and mailing them. Responsible for proper input to client billing system for costs, such as courier services, phone calls, travel expenses, Federal Express charges, group lunches, photocopy billings and outside services billings, deposition costs, etc.Â

WORKING CONDITIONS & PHYSICAL REQUIREMENTS OF JOB:

Overtime may be required during periods of high workload. Occasional local travel on firm business. Flexibility in daily work schedule around breaks and lunch period due to attorney requirements.                        Â
