Job Description

Te Whiwhinga mahi | The opportunity

The School of Pharmacy is currently seeking a Group Services Administrator, who is a highly organized Administrator Professional that will support a variety of functions around general academic administration, assessment and exam administration, and research administration support. These includes carrying out data reporting and assisting academic staff with course administration. The role also provides admin support to the Research Director, Director of Postgraduate Studies and admin support to all postgraduate students in the School of Pharmacy.

The role will also require providing committee meeting support, taking minutes, coordinating and assisting with research placements, organizing summer studentships and updating the content on the Research website.

You will work with a diverse range of stakeholders, in a dynamic and complex environment.

Ideally you will have the following skills and experience:

  • 1-2 years’ administration experience, ideally gained in a tertiary environment.
  • Strong Coordinator
  • Proficient in the use of Microsoft Word, Excel and Outlook (Intermediate level would be helpful).
  • Immaculate attention to detail, with excellent organisational skills and the ability to effectively manage a busy workload;
  • Support Committee Meetings, taking minutes
  • Updating website content
  • Accounts Admin experience
  • Excellent interpersonal, written, and verbal communication skills, as you will be working collaboratively as part of a high-performing team with an outstanding customer focus for the school’s key stakeholders.

Mō tō mātou rōpū | About the team

The role sits within the Group Services Team Structure, the team provides support services to academic staff in schools and/or departments delivering courses, programmes and research.

The team’s main focus is to support academic heads and academic staff with activities such as assessment and exam administration and school and department strategic planning. They also support with the Schools/Departments administrative responsibilities and liaise with other functional areas such as central service teams on their behalf.

The role reports into the Group Services Team Leader but you will also have a dotted reporting line to the Head of Department for the School of Pharmacy.

You will work closely with the Group Services Coordinator that is also supporting the School and will be working alongside other Group Services Coordinators, giving you an opportunity to see how these different roles work and the complexity of each Department and School.
