Job Description

The Executive Assistant will directly support the COO, CFO and General Counsel for North America region. Provide administrative support including coordination of a variety of high-level, confidential, and sensitive internal and external communications, manages complex projects and events; coordinates travel arrangements; meeting logistics; develops and maintains positive liaison relationships with various internal and external customers compiles and coordinates data for a variety of complex reports, presentations, and oral/written communications. Must have the ability to effectively communicate via phone and email ensuring all duties are completed accurately and delivered with high quality and in a timely manner. Responsible for confidential information and timely interactions.

  • Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
  • Arrange logistics for appointments and meetings, including agendas.
  • Reading and analyzing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner.
  • Manage internal and external communications.
  • Develop and maintain positive liaison relationships with various internal and external customers.
  • Prepare reports, collect, and analyze information, develop presentations.
  • Submit and reconcile expense reports as necessary.
  • Maintain client confidence and protect operations by keeping information confidential.
  • Coordinates lunch for executives as needed.
  • Process and submit expense reports.
  • Support COO and NAM business leader through marketing requests and incoming leads.
  • Supports the finance department as an administrator of company credit cards.
  • Provide back-up support to administrative and office management team as needed.
  • Perform additional duties assigned by executive leadership.

Qualifications

  • Minimum of 5+ years’ relevant experience (Required)
  • HS or GED required (Required)
  • Bachelor’s degree (Preferred)
  • Must be proficient in Excel, Word, and PowerPoint/Keynote
