The Regenesis Institute for Regenerative Practice is looking for a multi-faceted Course Administrator to support the successful delivery of globally distributed courses, and to ensure the quality of our students’ experience.

Who we are:

The Regenesis Institute for Regenerative Practice is a nonprofit education organization working to support practitioners in the field of regenerative development in locations around the world.

The courses we offer, through a blend of videoconference sessions and in-person intensive workshops, focus on developing the capability of individual practitioners through integrating different ways of thinking and being in their work. As an extension of that we also support the creation and development of place-based regenerative communities of practice globally.

Our challenge in this moment:

We are a small organization with a core operations team of four staff members, and faculty spread across several states and countries. Together we balance highly complex operations for course delivery with a diversity of time zones, currencies, and cultural norms to deliver consistently excellent educational outcomes.

We are outgrowing our capability to meet the increasing demand for what we offer and see the need to move towards having a Course Administrator to centralize the responsibilities currently shared by different staff members. We are envisioning a part-time position of 10-15 hours per week with room to grow to 20-30 hours per week, likely over the next 1 – 2 years as our programs continue to expand.

The position:

The Course Administrator ensures the smooth flow of systems, processes and communications at each stage of a student’s journey through a course. The course administrator works with our team to ensure a clear and coherent experience for our students, host team members, and faculty.

Your qualities/skills:

Masterful at coordinating and tracking multiple processes and timelines, and ensuring timely responses to queries and concerns

Strong verbal and written communication skills

Comfortable working and communicating well with a range of people at different levels

including the Institute leadership team, faculty, students, and host teams from different

geographic regions.

Highly competent with databases, spreadsheets, Google Sheets, and website content

management (we use Wordpress). Experience with, and/or confidence in your ability to quickly become comfortable with, the specific plugins and software products that we

use (LearnDash, BuddyPress, MemberPress, ActiveCampaign, Stripe) will be a major

consideration.

Detail oriented for tracking, recording and updating records

Excellent time management and task prioritization

Ability to deal positively with changes and growth as the Institute evolves and expands

its mission and outreach on a global scale

Creative, light-hearted, team player

Flexible as workload can vary month to month according to the schedule of courses

The Course Administrator will be responsible for:

Communicating and coordinating with course participants/cohorts via welcome emails, session reminders, and zoom access/scheduling info

Managing updates to the course dashboard info and session materials as course progresses

Communicate assignments to participants / post on dashboard

Facilitating vendor payments and payroll against approved course budget, including

verifying faculty payroll submissions against payroll/billing each month

Managing our relationship with the American Institute of Architects as a continuing

education provider

Managing the submission of participant records to AIA and other parties, and creating

course completion certificates

Liaising with local Intensive Coordinator during Intensive planning and manage

payments to local vendors

Identifying needed upgrades to our website and content management capabilities,

liaising with our web development team

Our Registrar is currently responsible for managing the enrollment process, acting as an interface for both the local host teams who are promoting a course (as “Host Team Liaison”) and with the prospective participants who are applying for the course (as “Registrar”). As her role expands into other outreach and development activities, we envision the responsibilities of the Registrar to become incorporated into the Course Administrator role.

Location Considerations

It is important that the Course Administrator be based in one of our North American time zones for ease of communication and coordination between our staff members.

Most of our team members work remotely from home offices but we do have a small

office based in Santa Fe, New Mexico, and some of our staff works from this office. We will be spreading the word about this position both locally in Santa Fe and nationally in the USA.
